We have a mail database that several users have full editor access to. One user has created several folders in the mail database and moved incoming mail to them once read. This works well for that user, however, all other users of the database cannot see the folders she has created. I cannot see the folders even when logged in a Full Access Administrator.

Can anyone advise how to fix this please

Most probably these folders are created as “Private” folders. If you delegate a mailfile using the functions in “More - Preferences” then the maximum access you can give is “Author” and then the flag “Create shared folders/views” is never set.

In that case every folder that a user creates is created as either “private” folder or as “pseudo-public” folder saved in the desktop of the user.

In both cases the folders are not visible to other users than the one who created them.

You need to follow these steps:

  • Give the user “Editor” access in the ACL and enable “Create shared folders/views”
  • Let the user recreate these folders (with another name, e.g. a suffix “-new” and move the mails to the new visible folders
  • Let the user delete the “hidden” folders and then rename the new folders to have the desired name

fyi: private folders have a different symbol in the navigation bar on the left, that is how you can differentiate them.
