Resource Reservation Delegation

Hello,

We’re looking for other folks to share their experience with the Resource Reservation database.

How do you proceeding for delegation? I mean, let’s say the the receptionist was called to create a reservation for someone else on the fly?

I know that you could delegate you agenda, but for quick reservation for someone else that has not his/her calendar delegated?

Thank you so much!

Subject: How are you creating the reservation?

I need some additional details regarding how the reservations are being created. If the delegate in questions has access to the reservation database via the ACL, then they can simply go in and create a reservation. If you’re talking about creating a meeting with a reservation on behalf of someone else, then the best way is to delegate access to the mail file in question through the calendar preferences.

Subject: Always best to book from your Calendar but

there may be times when that cannot be done. For example, you are on the road and you call your co-worker to book a room for you meeting because you forgot to. They do not have access to your Mail file / Calendar so they would need to directly book the room in the R&R dB and then use the Transfer Reservation feature to transfer it to you.

Your reservation will not be linked to anything on your Calendar (which is why we always recommend booking from your Calendar) but you will have the room. So if you have to reschedule that meeting, you will need to manually reschedule it in the R&R dB too. The same goes for cancelling that meeting and freeing up the room or resource for others.

Subject: ACL

Thanks for your answers. In the case that we gave direct access to the RR Database, what would be the best settings regarding ACLs ?

Subject: ACL

The minimum level of access needed to create a reservation is Author.
