Regarding Signature not found in the notes database

Dear All,

I have a query regarding the signature issue. If I add a signature using webmail (HCL iNotes/HCL Verse), the added signature is not found in the notes database.

When I connect the user NSF file using notes client (HCL Notes) and if I look for the added signature in the More - Preferences - Mail -Signature option, I do not see any signature added here.

Please also tell me the signature storage location for HCL iNotes and HCL Verse. Also, please tell me the procedure to view the signature location from the NSF file using the Domino designer.

Our default signature type is a Rich text format.

Can you please tell me is the signature added in the HCL iNotes not synchronized in the notes database?

The Rich text signature option is diiferent for iNotes and HCL Notes Client.

for iNotes the richtext signature goes into richtext field Signature_1 : see (wPreferences) form in mail file in designer. (Actually forms9 db is also involved)

for HCL Notes the RichText Signature goes into richtext lite field Signature_Rich : see (SignatureProfile) form in mail file in designer

in HCL Notes you have two more options : Plain Text and HTML or Image File

in iNotes you have the options : Plain Text and Notes besides rich text

if iNotes Rich Text Signature & HCL Notes Rich text signature are set separately with rich text option used in both scenarios, they will not be shared in the two scenarios. I guess because HCL Notes Client will use the classic Rich text item to store the Signature. iNotes may be using html or mime format.

But if you use the plain text signature option, changes made in HCL Notes are visible and applicable in iNotes and vice versa.

However if you wish to use a common rich text signature in iNotes and HCL Notes Client use the following steps:

  • Open Preferences in Notes Client. In Signature Option, choose Rich text. Create a rich text signature with formatting in say new mail message, copy from there and paste it in the rich text field.
  • Now open the signature preferences in iNotes and choose the option as "Notes" (see screen shot below)
  • Now you will have common signature in iNotes and HCL Notes as iNotes will use the richtext signature set in HCL Notes.
  • In the Signature options in iNotes and HCL Notes, you will see the same richtext signature
  • Verse is a different issue and needs to be dealt with by HCL at platform level.

In iNotes, you have three options for setting your email signature. You can add or edit your signature in either plain text or rich text format. The third option, the Notes signature, is for a preview only.

For outgoing emails in iNotes, you can choose from the following types of signatures:
1) Plain Text
2) Rich Text
3) Notes Signature (Preview Only)

The signature set from the Notes client will be available in iNotes, but only in preview mode. Using iNotes, the user cannot edit or add a signature in this section.
We can use notespeek tool and check the respective mailfile and respective profiles to check the signature used.
The signature added using iNotes would not be synchronized with the signature used by the Notes client.
The signature added by iNotes will be saved in the iNotesprofile under HTML Signature.
The signature added by the Notes client will be saved in the calendar profile under Signature, according to the chosen format.
Since the signature sets may differ between iNotes and Notes clients, an enhancement request is in place. Please see the details below.
