Hello, My problem is as follow, I have 100 users more or less, and few of them have their mail archived in two different archived datbases(archive\a_xxxxxx.nsf and archivees\a_xxxxxx.nsf). I need to put all archived mails ( from both archived databases) back to mail database, and then change archived policy and archive them again using the new policy. I need to do the mail back programatically manteining folder structure, etc because there are a lot of users. the rest of the process I can do it manually.

Your method may not work as expected if you archive by age (for example 90 days). If you put docs back into the production mailfile, they will not be eligible to be archived again until they have been in the mail file for 90 days after the data you put the messages back.

Try combining the two archives (let’s call them A & B) into one and the update the mail file archive policy as follows:

  • Pick the current archive file that is listed in the production mail file (Let’s call it Archive A)

  • Go to Archive B and set its archive profile to point to Archive A and set it to archive all docs not modified after ZERO days.

  • Initiate archiving on Archive B. This will move all the docs from Archive B to Archive A, so when you’re done Archive B has no docs (just folders and views) and Archive A has all the docs, folders and views (could get some dup folders though…). You can do this a lot of ways, but it is really easy of archives are on a Domino server, but not a show stopper as long as you get get to the 2 archive databases with a Notes client.

  • Udpate your archive policy on the mail files to point to Archive B

  • Delete Archive A

You could also create a 3rd archive (Archive C) to dump all of A & B into and then point the new archvie policy for the mail file to Archive C, but that is more work.

Thank Joseph, I am sorry but I have not had time to answer you before, I have been doing tests and your method works fine, but I don’t know how can I put all archived mails in production file one time I have all docs in one archived file (A) , because if I set Archive A archive profile to point to production file this database converts it in archive database , not production.

I kind of assumed that once you have all the archives combined, you could then apply the archive policy to the mail file and just move forward from that point. Assuming that the policy is going to archive by date, this might be a good point to start from. “Effective ‘today’ your mail will be archived on this new policy.”

The other way would be to do a final combine by pointing the consolidated archives back to the mail file by using the archive profile and then push all the messages back into the mail file. If this is your final required result, just point all the archive profiles back to the mail file to start, but be prepared for some big mail files.

This could be quite a load on your mail servers for quite a while, since the docs would all be new in the mailfile, they would not honor your archive policy settings for quite a few days or weeks. In other words, if you add a doc originally created on December 1st to a mail database today, and your archive policy that says archive after 30 days, the doc won’t archive until 30 days after today, not 30 days after the original create date on the document.
