Notes user with db access only sees partial database

I recently added a new user (recently as in over a week ago) to my environment, and granted her access to a contact database that my company uses, but when she goes to view the database she only sees part of the database. There is no error listed or that shows up, and this database is from 1996, so there is not really any support or documentation…however, since this is a notes database, I am guessing that this is a Lotus issue. I already tried playing around in the ACL, and even when the user is set to be a manager as an individual, the result is the same.

Please check to make sure that there are no views which have a reader list setup. If this is the case she will need to be added in order to view/read.

Check the groups in the roles in the ACL - it might shed some light on your issue.

The “Roles” tab is blank.

Find a particular document that she cannot see that you can. Look at the document properties and look for a field where the field flags says “SUMMARY READ-ACCESS NAMES”. If you’re lucky, the field will be called Readers.

Check who is listed in that field for access - if it’s a group - you just need to add your user into that group. If it’s individual name, you’ll need an agent to add her into the Readers field.

Thank you for your continued help.

I went to the fourth tab over in ‘Document Properties’, the little key picture, and I see that there is a box checked off under “Who can read this document” that will allow “All readers and above” to read the document. The user has Editor access to the database, and her group is listed in the list below that checkbox (even though it is gray out because the box is checked). Either way, she should have read access…

edit: I noticed that most, if not all the entries that she cannot see have a property of $keepprivate=1…perhaps this is doing it…how do I remove that value?

Here’s a good thread about $KeepPrivate:https://www-10.lotus.com/ldd/nd6forum.nsf/55c38d716d632d9b8525689b005ba1c0/bdf524ecbc87ccff852570fa003c57f7?OpenDocument&Highlight=0,%24keepPrivate

It shouldn’t prevent someone from reading a document, but if you want to remove it you’d need to run an agent on the document with this code:

FIELD $KeepPrivate := @DeleteField.

However, it still sounds like their may be a reader field on the document. If you bring up the properties box for a document and click the second tab, you will get a list of all the fields on the document on the left side. Click on one and on the right you see the properties set for that field at the top and field values at the bottom. Look for a field with the READ ACCESS flag. When I use a reader field I generally call it “Readers” so I can easily find it, but that may not be the case here so you may need to check each field.

How would I got about doing so?

When you say ‘can only see part of the database’ do you mean that she can’t see some documents that you know are in the database, or that portions of the database’s design are missing?

She doesn’t see the entries (I suppose that you could call them the ‘documents’).
