We’re in the process of reigning in some large mail files. We will eventually configure our server to hold mail if quotas are exceeded.But, currently, we would like to restrict a few specific people who are our worst offenders.
Is there any way to hold a specific user’s mail hostage? Or are we in an All or Nothing situation?
It is set per-server. You could create a temporary server for the people with the bloated mail, move those users to it, and set that server with a size limitation.
On our servers, we have a separate custom app that acts as a Mail Jail. If you exceed our expected limit, your ACL gets changed so that you only have Reader access to your email until you reduce the size of your mailbox. There are exceptions for some users, exemption periods for users on vacation/travel, methods of releasing yourself in an emergency and tools for support folks to remove you from this Mail Jail. It’s kind of a neat system, though you do need management to buy into the concept.
There are other ways to handle it - most of which involve educating users. Some users will tell you flat out that they need everything they’ve ever sent or received. In those cases, I think you either sit down and walk through all the personal emails they have from 2003 with them or archive prior years (copies for the user on CD aren’t bad).
