Help! Quotas not working

Some of the mailboxes have quotas of 500MB. When the mailbox reaches a size of 485MB it starts warning the user that “the end (of space) is coming”. Most users then delete documents and compact but I have a problem with about 20 of them. These dbs have a higher quota and even tho they get the warnings, the db size keeps increasing. I then increase the quota and warning values to reflect the change, but the mailboxes keep increasing. I have asked those users to delete old documents that they don’t need and to archive those they wanna keep, because we don’t have unlimited space in our hard drive (the last part is my excuse, but still) but they don’t listen to me. What can I do to enforce the quotas?

Well, this is a kind of backdoor to me, but you can’t really do something against its usage.

In the server configuration document > router/smtp > restrictions and controls > delivery you might change the server’s behaviour if the file size exceeds the quota. You can configure the server to not deliver the message. But be careful! Check the laws of your country to ensure you do not mess up with it in case you must deliver mails to your users. Be very careful with this topic/setting.

I decided to alert the users that they’re about to exceed their mail quota but that they’ll receive all e-mails.

you say they are deleting stuff but the size keeps going up and compact does not decrease it. Check in the db properties box, second tab, and click the % Used button. If it’s below 90% after compact runs then you do indeed have some problem. If it’s above 90% after compact then everything appears accurrate and they just need to delete more stuff. Also, make sure the user’s trash is emptied before running compact. The users may have increased their soft deletions setting to keep deleted docs for a long time. Docs in the trash count towards quotas.
