I have been asked to add a custom footer (employee name, position…) and a disclaimer to our outgoing email. I have completed the footer by doing a look-up in the NAB. My problem is the disclaimer. It needs to be a smaller font. In order to do so I created a new rich text field called disclaimer and placed it right below the body field. This works great except it is now placing the disclaimer in every message in my inbox… There must be a setting i have missed, but I just copied and renamed the body field…Please advise which is better either adding the disclaimer in the main body field (then I will need help with code to change the font size down to 8), or using the new field, but making sure it does not populate every message in my inbox. There are any number of postings here and in the 4/5 forum about adding disclaimers and other customized trailers to email. Please search.
Editing the memo foms in the mail database will not help, because the outgoing mail server code doesn’t use the form in your mail database. It just looks at the regular fields that appear in an email message – subject, body, and so on. It has no way to know that an extra field is supposed to appear or where in the email you would want to insert it.
