Find Next, Search Bar, Binoculars, Oh My!

I’m trying to find/read as much information as I can about searching for documents in a database, specifically in a view. I’m trying to troubleshoot inconsistent results when searching in a view for a specific document or documents. In order to do this I need to understand the ins and outs of the various methods I see for searching.

  1. The Search Bar…doesn’t always yield expected results but I think this may have to do with the full text index and the last time it was updated. Based on what I’ve read that seems to be the case. Are there other limitations I need to be aware of (i.e., only certain fields can be searched?)

  2. The binoculars on the toolbar…seem to yield the most consistent results finding documents in a view even when the Search Bar does not return the document. How come? What are the binoculars doing that the Search Bar isn’t doing?

  3. Just start typing the text to find while in a view…works almost as consistently as the binoculars except it always searches forward so you have to make sure you’re at the top of the view when you do it or you might not find what you’re looking for.

I get complaints from users about not being able to find documents from time to time within the views and I think if I understood more about what’s going on behind the scenes I could more effectively answer their questions and recommend a “best practice” for searching.

Can someone point me to a link or some additional information about searching in a database? Being somewhat new to this forum I’m still trying to find my way around and locate helpful documentation for topics such as this.

p.s. I’ve been searching this forum as well as Notes HELP.

Thanks,

Laura

Is it just me or could this forum use better search tools?
