Extracting bookmarks from toolbar & Workspace

We will be migrating 900 users shortly from Notes 5 to 6.5, and need to find out what old archives / personal address books / shared mailboxes they might have bookmarked on their left hand toolbar, or on their Workspace, as during the automated migration process the old bookmark.nsf file and desktop.dsk are renamed and re-created (blank). Unfortunately we can’t change this process.

Does anyone have a script or extraction tool, or know of an easy way of finding this out for each user, otherwise it will be down to administrator intervention sitting down with each user writing down what server / file name each one is :frowning:

Thanks for any suggestions.

Regards

Helen.

I don’t know much about the data you’re looking for, but:

1 - Open bookmark.nsf in your designer. I have a 6.5 designer and I don’t know if the Notes 5 bookmark works the same way, but It’s worth a try.

2 - In the views, you’ll find the workspace clearly identified. Open it and do a refresh, you’ll see a list of databases.

3 - In the oulines, you might also find some information.

That’s all I know about bookmark.nsf.

Good luck.

Thanks Kristof.

Firstly I don’t have access to Designer (only available to higher level admins)

We would like some kind of automated process that will audit a users machine and extract a list of databases that the user has on their toolbar, and / or workspace. It would need to be quicker than having an administrator sit at each users machine and check it by hand. (or to do via remote control session)

Wondered if anyone has done this before and has something already written.

thanks

Helen.

Hi Helen,

I’m using LN6. I’ve created a script that you can put in an action button (designer not needed). This script is intended to search for a specific bookmark entry in the toolbar and remove it. As for database icons in the workspace, that’s something I’m still trying to work on.

Anway, use this script to guide you with extracting bookmarks from toolbar.

Sub Click(Source As Button)

Dim Server, Path, TargetDbName, lpRootPath, lpInputPathName As String

Dim RetVal As Long

lpRootPath = "c:\"

lpInputPathName = "bookmark.nsf"

Path = Space(512)

RetVal = SearchTree("C:\", "BOOKMARK.NSF", Path)

Server = ""

TargetDbName = "GIGORDER.NSF"

TargetDbLabel = "CGII ORDER AUTHORIZATION"

Dim bookmarkdb As New notesdatabase(Server, Path)

Dim outline As notesoutline

Dim outlineentry As notesoutlineentry

Dim deloutlineentry As notesoutlineentry

Set outline = bookmarkdb.getoutline("UserBookmarkOrder")

Set outlineentry = outline.GetFirst()

While Not outlineentry Is Nothing

	deleteflag = False

	If Not outlineentry.database Is Nothing Then

		If Ucase(outlineentry.database.filename) = TargetDbName Or Instr(1, Ucase(outlineentry.label), TargetDbLabel, 0) Then

			Set deloutlineentry = outlineentry

			deleteflag = True

		End If

	Elseif Instr(1, Ucase(outlineentry.label), TargetDbLabel, 0) Then

		Set deloutlineentry = outlineentry

		deleteflag = True

	End If

	Set outlineentry = outline.GetNext(outlineentry)

	If deleteflag = True Then

		Call outline.removeentry(deloutlineentry)

		Call outline.save()

	End If

Messagebox "Continue to Step 2", 4160, "Step 1 complete"

End Sub
