Hi list,
I’m preparing a simple ddbb where an user create a doc, then an Editor has to add extra information, But, How can I prevent this editor to modify those fields that Author has already created?
I don’t like to hide these fields (e.g: using roles) I would like to keep these fields visible but preventing to modify the information written.
Thanks a lot.
Subject: Editor access
Here are a few ideas:
(1) Use different forms, the person who enters the initial data uses form1 where those fields are editable. When they save the document change the form to form2 where the fields entered are computed. Then when the next person (editor) goes to edit the doucment those fields are computed and they cannot edit them.
(2) Don’t let the anyone directlyt edit the document using a form. Instead each person click on a button that opens a dialogue box that allows them to modify the only the fields you want them to.
(3) [How I would do it]. Have two fields for those you only want the initial person to edit and a statusflag field. For example Name (edittable) and Name_D (Name_D is a computed for display field, with the value set to Name). The hide when formula for Name is if hide if StatusFlag<>1, and the hide if for Name_D is hide if statusflag<>2. When the document is first created the statusflag=1 and the person can see all the fields to be editted. When they save/submit the document the statusflag is set to 2. Therefore when the editor comes along they see the Name_D field but it’s computed for dispay so they cannot edit it.
Just a few ideas.

yes, I know. But I would like to avoid creating new and duplicate forms/fields.
therefore, I’m afraid I have no more options.

It would seem.
Without adding something MORE to the form, I think you’re out of luck.
You’re trying to override the “EDITOR” definition which is means they can edit anyone stuff. To restrict Editor access you’re going to have to do something to the form.

And, do you know the way to allow only the Author or those who has [admin] role to edit the document?
sorry but I have no skills in lotus script.
Many thanks.
Subject: RE: Editor access
Create an Author field on your form. The field should have the name of the person who created the document and the role [admin] @UserName:[admin] (Computed when composed - if that’ never to change).
Then change those with Editor Access to Author access (assuming they have the [admin] role).
ACL has nothing to do with Lotus Script.
Subject: RE: Editor access
This part you can do without any LotusScript. Lower the ACL for these people/groups to AUTHOR (not EDITOR). Add an AuthorNames field. Populate it with the name of the Author. You might make this a multi-value field and include the name of a Role (in square brackets). Alternately, put the role in another field. Then, the only people who will be able to edit docs created like that will be the name(s) listed in the authornames field(s) plus those who actually have Editor access in the ACL.
Depending on how you set it up, the formulas for the fields will contain something like:
@UserName : “[DBSupervisor]”
NOTE: Existing documents will not be affected unless you populate the authorname field (that’s probably obvious, but is still worth repeating).
