Archiving and database storage

Hello, we’re going to start a cleaning operation in the users databases of our company; no quota has been set up and in these years the db sizes are now too big.

My idea was to archive everything that is older than 1 year in each database and then store the archive files in a Nas, so they’ll have their database with only fresh mail and the possibility to read old documents with the archive.

Some questions:

1)How should i set the os files permissions of the archives files? I think that everyone should have reading access, database will be then protected by Domino ACL… right?

2)What happens if someone needs to forward an email that is stored in the archive? I think that the mail will be stored in the sent mail of the archive file, but that is not what i want: i would like to make a full backup of those archives and then store in the nas in read only mode…

3)Should i rebuild the index of all views before moving a file archive to the Nas?
