Views and Readers field

I had a form that the user could not see in a view because their name was not in the Readers field. I appended the name to the Readers field and now the user can see the document via an document link but can not see the document in the view.

I created an index in the view thinking that the user would then be able to see it but she still can not see the document in the view.

Any Ideas? Thanks!

Try rebuilding the view index (might take awhile)

Thanks for the suggestion. I tried this and it did not work. I also created an index and created a new one.

Any other suggestions?

What did you add in the reader field ?

In reader and author field, always use the canonical format of the name.

Example :

If the user name in abbreviated mode is :

John B Goode/Sales/East/Acme/US

In the reader field you must have the following value as on the the multiple values :

CN=John B Goode/OU=Sales/OU=East/O=Acme/C=US

You can also have :

John B Goode

But it’s not recommended as you may have problems in case you merge 2 Notes domain.

But if you have :

John B Goode/Sales/East/Acme/US

Then it won’t work !

Hope this helps

Christopher,

Verify that the readers field is SUMMARY by highlighting it in the view and doing doc properties using your own id.

Is this person listed explicitly or via group/role? If the latter, have them click the security icon (bottom right) to list out their groups/roles to verify that the server recognizes them correctly.

Just a couple thoughts,

good luck,

raphael

Raphael:

The field is SUMMARY. The person access the db through a role specified in the ACL. I am part of a Notes Designers group with designers access but I can not see the document in the view. When a person who can see the document sends me a document, I can open the document but I can still not see it in the view.

Any other suggestions?

Thanks!

Chris,

As info, just because you have designer access to the database, does not mean that you can see documents with readers fields. You or the Designer group would need to be specifically listed in a readers field on the document to insure you see it.

Can other people see the document in the view? Meaning are you sure the view is right? Is this a response document or main document. If response does he have the ability to see the parent document or is the view set to not use a heirarchy?

Verify where the link is pointing the user to. It could be opening the document on a local copy but he’s looking at the view on a server copy…

Hope that helps.

Yes, some people can see the document but not all people. Those people who can’t see the document can see the document if you send it to them in a document link. They can not see it in the view though. They are all looking at the same copy.

Any other suggestions?

Thanks!

You didn’t tell me if these are response documents or not … This might be key if the missing documents are responses and some people can view their parents while others can not.

If we’re only talking about main documents here… then it doesn’t sound like readers fields since that have access to get them via the doc-link. I’d focus on your view.

A couple of thoughts…

Have a user rebuild the index with Shift-F9…

Create a NEW view that would select the missing documents and see if the user can see them in a new view…

Maybe have someone who can create a folder put these documents in a folder and see if the users can see them there…

Anyway, that’s what I would do next… focus on the view…

That being said… it also might be interesting to see if you removed any readers fields from the document and see if that appears…
