View Multiple Checkbox selection incorrect categorizing

Good Day Folks,

I have asked a similar question before but have not arrived at a solution so far.

I am attempting to use a categorized view to show a break out of a couple items from a Form. The form captures Date, Manager and has a check box with 5 types of actions; Actions1-5.

We then have 5 Sub Action Checkboxes which are dbcolumns from a keywords list. Each grouping is of varying length, etc…

In the view I have

column 1 as the Date field; categorized, ascending

column 2 as Manager field; categorized, ascending

column 3 as Action; categorized, ascending, formula = @Trim(Type)

Column 4 as Sub Action; categorized, ascending, formula (@If(@Contains(Type;“Comprehension”);@Trim(Comprehension);@Contains(Type;“None”);@Trim(None);@Contains(Type;“System Navigation”);@Trim(System);@Contains(Type;“Product Knowledge”);@Trim(PK);@Contains(Type;“Tone”);@Trim(Tone);“”)

The issue I am experiencing is that items that fall under “Comprehension” will also appear under “System Navigation” if the happen to be both checked off.

So for example if I have Comprehension - Misunderstood Client

then under System Navigation - Misunderstood client, despite the fact that the System field contains “Activated wrong product for client”

Any other suggestions would be greatly appreciated.

Thank you,

Ken

It seems to me that the “show multiple values as separate entries” is working like it was intended.

If you have 1 field which is multi-value and check that option on, you will have 2 copies of the document appear in the view. The categories which sort them are only informational and have no bearing on whether or not the same document appears twice in the view or not.

What are you expecting to see? Which one of the multi-values should the document be sorted under?

Now if you don’t use the “show multiple values as separate entries” option, what you’ll end up getting is something like this:

Comprehension

 Misunderstood Client, Activated wrong product for client

     Document 1

     Document 2

System Navigation

 Misunderstood client

     Document 3

     Document 4

 Misunderstood client, Another one of the multi-values

     Document 5

Instead of

Comprehension

 Misunderstood Client

     Document 1

 Activated wrong product for client

     Document 2

System Navigation

 Misunderstood client

     Document 3

     Document 4

     Document 5

 Another one of the multi-values

     Document 5

I’ve not tested this theory, just a quick thought.

Since type is a list, the colum formula may be excuting for each value. Maybe if you try to make a single value of your Type (implode into a variable) then try your @Catains against the variable.

I get what you mean but I end up with the same results as if I had just entered

@Trim(Type + " / " + (Comprehension:None:System:TDCT:Tone))

Might be me not fully comprehending though…

This one has me spun…

Subject: RE: View Multiple Checkbox selection incorrect categorizing

I meant something along these lines… not sure of the value(s) of Type so…

Column 4 forumula

tType := @Implode(Type);

@If(@Contains(tType; “Comprehension”); @Trim(Comprehension);

@Contains(tType; “None”); @Trim(None);

@Contains(tType; “System Navigation”); @Trim(System);

@Contains(tType; “Product Knowledge”); @Trim(PK);

@Contains(tType; “Tone”); @Trim(Tone);

“”)

This way the @Contains is only looking at a single string instead of a list of string values.

Subject: RE: View Multiple Checkbox selection incorrect categorizing

The List of strings isn’t really causing the issue. It is more the fact that I cannot figure out how to isolate for Comprehension and it’s sub items versus System Navigation and it’s sub items.

For a better example, I have a form with todays date, My name as the Manager and then the following checkbox’s selected;

“None”, “Tone”

sub items for None as;

“Cursing at client”, “Unsupported Foreign Language Used”

sub items for Tone as;

“Spoke to quickly”, “Mumbled worse then the God Father”

since None comes before Tone we would display

Date->

______Me->

___________None->

_________________Cursing at client →

_________________Unsupported Foreign Language Used →

___________Tone->

_________________Cursing at client →

_________________Unsupported Foreign Language Used →

If only one or the other Main Type is selected then there is no issue. Sub Type would align as expected with its type.

Hope this makes better sense…

Even though your document is show under multiple categories, it’s only in the view once, and the columns are only calculated once.

It’s not possible to have a single document in a view, and have different column values for different categories.

Subject: RE: View Multiple Checkbox selection incorrect categorizing

Are you stating that what I am trying to do is not possible?

Or that I am a baboon… which is totaly possible… :slight_smile:

Subject: RE: View Multiple Checkbox selection incorrect categorizing

Ken, as far as I know, you are not a baboon. (If you are indeed a “Cercopithecidae Papio”, then please contact the Notes PR department immediately, as I’m sure they would love to cut a profitable advertising deal with you…)

However, Notes does not lend itself to storing multiple “instances” of information in a single document, because you cannot create muliple, different, view rows from a given document. The document’s view columns are calucated once, whenever the document is saved, and stored in the view’s index. This happens before the view is displayed, sorted, and categorized for the user.

In cases where I’ve had to (i.e. Been forced to…) do this, the solution I implement is to create (or recreate) a set of “Sub-Documents” whenever the main document is being saved, and use those sub-documents to populate my views.

You may be better off having one document per Type of action.
