I have inherited an application that requires some additional users to be granted access to a button. I can add these names to the button but I need the new users to have access to all the pre-existing documents as well as ones added from that point forward. I thought the RefreshAllDocuments funtion might take care of this but it does not. It is obvious that the programmer should have used ACL’s on these buttons but did not. Any suggestions?
Subject: Updating Button Security List On Existing Documents
Can you provide a bit more detail?
I assume you are referring to a button on a form (not in a view), either in the body of the form or a form action button. I also assume you are looking at / modifying the hide-when formula on the button.
Does the hide-when formula refer to roles in the ACL or to fields on the documents? Perhaps post the code here so we can look at it.

Thanks for your response Michelle. I will provide more details:
There is a controlled access section on a form. In that section there is a button that loads a signature, date & time when clicked. Originally several users had access to that section and button. I have granted a new user access into the section and the button. On all documents created from that point forward there is no problem. But in the existing documents, the user can open the section, and can see the button but clicking the button has no effect on the fields. Clicking the button brings up a list of who can access that but the new name is not on the list - only the original ones. I need a way to update the security on all the existing forms.

Its been quite a while since I did any work with controlled access sections - your problem is definetly there.
I can’t remember how you change the access properties retrospectively. Search this forum for more info on this topic (“controlled and section”).
As a recommendation - don’t put people’s names directly in a controlled access section. Set the value as computed, and reference a field (which you can modify programatically), or put a role in the section access formula. You can then change ACL members who have that role assigned.
I think that if your section is named, there may be a field starting with $ which contains the names - check the document properties. But as I said it’s a long time.
Sorry I couldn’t help more
