In the access list noone is allowed to delete anything. Actually, this database is not even in production yet. Only me and one other user knows about this database. He has created 29 documents yesterday, 2 today. 31 total.
I opened the database later this afternoon, there were only 30 documents. I collapsed the view and was looking at it and the number from 30 changed to 29 in front of my eyes! /the total number of documents in the view/ 10 minutes later, the number changed from 29 to 28 and I was doing nothing!
Just in case I coppied all documents that has left and pasted them into the template. What is going on here? Do I have a ghost im my computer?
The database has no agents, no workflow, no script, nothing. it is the easiest database I have ever seen!
In the form I had a rich text field. After I created 31 documents I have decided, that I need one more rich text field. I copied the first one, pasted, and renamed it to : “form”.
Than, when I opened a document, the rich text field holded the name of the form. I didn’t pay attention to it. After I renamed the rich text field from “form” to “content2” looks like the problem is solved. The documents are not disapearing any more.
Right now I’m looking into Designer help but I have not found anything related to this issue. Have you ever met something like this before? Because I haven’t…
It seems that your docs weren’t deleted. They just disappeared from the view. I’m guessing that your selection formula was something like SELECT form = “xyz.” You should be able to find them in a view with SELECT @All, and then run an agent that sets FIELD form := “xyz” to fix them.
Exactly correct. Since rich text fields are not summary fields, they are not accessible to the indexer, and so the documents were being unindexed as they were modified. You should not use Form as a fieldname unless it is a text field representing the form.
Subject: This is crazy, documents are disapearing in front of my eyes
HELLO
Makes sure ( if you are using readers and author fields ) that the full username of the user trying to see the documents is entered in the readers field
i.e. CN=Brent Wilkinson/OU=GBW/O=Elster
also, make sure there is no view selection formulas in the view you are using to see the documents…
The case could be, when you read a document , the number of documents will change i.e. if you have 30 unread doc`s, and you read one of them… then the number will change to 29…just like in your email…

This crazy thing happened to my users too. Security in my application is that no one can delete documents except Managers can flagged them off. Those flagged ones will be archived into a hidden view and stay there for 3 months before being completely removed by an agent. Everything is tested. Working fine. But all of a sudden one fine day, I got a phone call that only one document with so and so number is missing.
Searched by all means. But no clue why that document disappeared. Made a local copy and removed all documents one by one to see if this document is hidden somewhere. I could able to delete all documents with different numbers than the one I am searching and finally database properties showed me 0 documents in the database. No clue where this document gone. This same thing happened twice in a span of 4 months. We know very well that that document is just worked on by users a day before. Hence if deleted by manager, it should be archived and other people cannot delete them at all.

Thank you very much for all replies.
The thing is very confusing. I have no agents, no reader, no author fields. Just one single form and no workflow. I have there three buttons :
Save button with this formula : @Command([FileSave])
Edit button : @Command([EditDocument])
Close button : @Command([FileCloseWindow])
No query save event, nothing, no events. view selection formula is selected by form. Very very simple. I found out that the document is deleted /or desapears from the view/ when:
I create a new document. It seems that the document is not even created but actually delets one.
When I open a document in the view, edit the document and save it, one document is deleted again. Imediately.
The database is only on one server, right now, there are only 2 users using this database, me and a guy sitting accross the table. Noone else. There are no replicas, nothing.
The document is deleted while saving! I checked everything, I have no code anywhere what could cause this.
Is there any property I don’t know about that is causing this? Help, my database is disapearing…
