Some usability issues

Hi everyone,

I’m not trying to stir the pot, but I’m wondering if anyone knows whether either of these issues is on the roadmap for fixing in a future Notes release:

  1. I’d like to be able to delete an email while it’s open and in the preview pane as well.

  2. I’d like to have ‘Exhaustively check all address books’ actually do just that - rather than stopping when it finds a match in the local address book.

We’re looking to move some of our Outlook users to Notes, and these are just the type of things that make them angry - and I can’t offer any ‘reason’ why it is the way it is. As wonderful as the development and collaboration platform may be, it’s the client expereince that makes or breaks the product.

issue 1 : no problem (for some time now, if I’m not mistaken …)issue 2 : no problem (this is a setting in the location document)

So these two points shouldn’t stop you to migrate to Notes!

I still have both problems, so if you could shed light on how to fix them that would be good.

More detail:

  1. When you have the preview pane open on the inbox, then go into a mail and press delete, a message pops up saying ‘The document could not be deleted because you have the preview pane open’ or something like that. Admittedly this is better than the old ‘document can not be deleted when instantiated by a uidoc’ message, but still an annoyance.

  2. when using type-ahead, if the name is in your local address book it will give you this one, and won’t even check the domino directory, even if you have exhaustively check all address books set. This one is a big problem for users, as they end up sending mails to people they don’t want to if they’re not careful, especially if they’ve logged in to someone else’s PC for a time and send a mail.

I suppose you’re on an old version of Notes, or an old mail template. You can delete a message that’s opened in the preview pane without any message. The preview pane jumps to the previous item in the inbox, or gets empty when there are no documents left in the inbox. I’m currently using Notes 6.03, but AFAIK this possible allready quite soem time now.

In the location document, you can choose to lookup the name after each character typed, or after a seperator typed. If you choose to look up after each character typed, then the user should keep typing characters until the wanted name is displayed. If you choose to look up after a seperator, and the user types for example bob than a list of all ‘bobs’ will be displayed (if there is more than one ‘bob’ of course).

I’m on 6.5.2 mail client and template and 6.5.1 server, so no issues with the mail template.

  1. Yes, if I delete a mail from the inbox, even with the preview pane open, it works fine. But if I’ve got the mail open and press delete then it doesn’t work.

  2. Can’t get this to work. If I have exhaustively check and type in ‘and’ and hit return it pops up a list of all the Andys and Andrews in my personal address book, but none from the domino directory. And if I type in the start of a name with one instance in my personal address book and one instance in the domino directory it will just insert the name in my PAB without giving me the options

This second problem has been discussed loads of times on the forum, and I can’t see that it’s fixed yet (if there’s a plan to fix it). It’s to do with the fact that you have to set local then server on the recipient type-ahead field.

Thanks to all posters, but I’m afraid I have the same experience as Dan - I’m using 6.5 server, and 6.5.2 iNotes mail template. The problems are not fixed in these versions.

  1. When the preview pane is enabled AND an email is open, you cannot delete that email. You have to close it first, then delete it. The error message I get is “Cannot Remove Notes Document when Instantiated by NotesUIDocument”.

  2. I have ‘activate type-ahead’ set to ‘on each character’, and I can see that if I type enough of the name I am looking for, that it will eventually find the one in the Domino directory. The problem I have is this:

there’s 2 Roberts in the Domino Directory, and one in my Address Book. If I type in Robert and hit (to do a lookup) - it will ONLY return the Robert in my address book, with no other options. If I remove Robert from my Address book and do the same thing, then I am shown both Roberts, and allowed to pick the one that I want. To me, “Recipient Name Lookup” and “Recipient Name Type-Ahead” are two different things. What I would expect “Exhaustively Search all address books” to do is present me with all 3 Roberts and let me pick the one I want. Believe me, this is the behaviour that all of my users are expecting as well, because I’ve been asked about it many times. Whether it’s ‘by design’ or not, in my opinion it is definitely not working as it should.

If there’s some other setting or change that will fix this, I’d love to know about it!

Okay, I can see you’re problem now. You’re right about this two issues. I can reproduce it here too.

Never heard someone complain here though …

Still, I guess your request makes sense and Lotus should fix it.

On the other hand, if these kind of things are important to decide if you’ll migrate to Notes or not, I guess you never will.

After 3 years, most of my users are content with Notes, but there’s still some Outlook-lovers left around here.

We are looking to move a remote office onto Notes, so I know that these types of issues will be brought up again.

These were two things that have bugged me for years, and I was just hoping that there was some workaround or fix in existence or coming soon.

You’re right, they’re not ‘show stoppers’, but when enough of them exist, then it can have an impact (especially when you’re pushing someone onto a new client from the one they know and want).

I just read Dan King’s post about using F9, which somewhat helps issue 2, but still doesn’t fix it in all scenarios.

  1. If I delete an open mail (with preview open) it just shows the next msg in the inbox. When I then return to the view I see that the doc is marked for deletion. When I refresh or try to close the db I’m prompted whether to empty the trash.

yes but if I refresh or try to send I then get the “Ambiguous name” prompt including those from the server.

  1. We’ll have to agree to disagree on this one, as it doesn’t work in 6.5.2. Anyway, I thought the days of deletion marks in mail were gone forever. When I delete a mail it moves directly to trash.

  2. OK, if I type Andrew and then hit F9 (with type-ahead set to delimiter so it doesn’t look for it first) I get the full list. However if I type Andrew and then hit return it only picks up the names from my PAB. If I leave andrew in then press send, it will give me the full list also (no use if sending to more than one address, as when typing a comma it looks up just those in the PAB).

So if you’re just sending to one address, setting type-ahead to delimiter, and using F9 works, but any other scenario is still a problem.

Thanks for the F9 tip, Dan.

I think I’ve found the ‘best’ workaround so far.

  1. set Recipient name type-ahead to ‘disabled’

  2. set Recipient name-lookup to ‘exhaustively search…’

Now, I can enter the first names of everyone I want to email, separated by commas. To check the names, I can either hit F9, or just hit send. In cases where the name exists in only one address book, it will grab that name automatically. In cases where there is more than one name to choose from, it brings up the selection list to pick the right one.

Not perfect, but it may satisfy some people!

I’ve just tried both using notes 6.0 (dont have 6.5) and they both work the way you want NOT the way you decribe. I would suggest a. try another notes version. b. check that the mail template are properly updated.
