Shift-click alternative - selecting documents in views

Those of us who need to select large numbers of documents in a view find Notes very unhelpful. There’s no click, shift-click to select a range of documents and no invert selection. You just have to hold down the mouse button for minutes at a time to get the documents you need. I’ve accidentally come across a slightly better way, so I thought I’d share it. You can avoid cramps in your index finger by:

  • clicking in the view margin and dragging the cursor to the bottom of the screen as normal

  • keeping the left mouse button depressed, click the right mouse button. The context menu appears

  • release the left mouse button

You can now keep selecting more documents just by keeping the cursor at the bottom of the screen - no need to hold down any mouse buttons! You can pause and resume the selection of documents by moving the cursor into and out of the Notes window.

Now why didn’t they put that in Help?

Now why didn’t they put that in Help?

Maybe because it doesn’t work? I tried it in 4.6 and 6.5.4 running under XP Pro - no joy. In 4.6, there is no context menu when you right click. In 6.5.4, the context menu pops up but moving the cursor down does not cause the view to scroll down and check more docs. I tried:

Left click, start selecting by dragging - drag below the Notes window so it’s still selecting and scrolling. Hit right mouse, context pops up, scrolling and selecting stops. Moving mouse - no effect.

Left click, select to the bottom of the displayed window (ie don’t drag mouse below Notes screen), right click - get context menu. Moving mouse has no effect.

Did I miss a step?

Is there a reason your users couldn’t use searching instead of drag/selecting? Do the docs they want to process have some common characteristic that a search could use?

…and it would be really nice if Notes followed suit.

Do some searching around here (and maybe the Notes 5 forum) and you’ll find plenty of discussion about this aggravating topic.

Well Eric, it seems that some of the posts are more aggravating than the topic. I was suggesting a workaround that may actually help some people, and as far as I’m aware, the workaround hasn’t been posted before. If you find the topic aggravating, maybe you should just ignore posts about it.

Doug - you appear to be doing everything right, so it may be a version thing. It works fine for me in 6.5.1 with XP Pro SP2. It doesn’t work in 5.0.11.

Colin, as Eric was agreeing with you, I’m kinda confused on why you’d post a reply like this.

By the way, forget the right-click. Just drag and let the view start scrolling, then, without moving the mouse, alt-tab to a different application. Then you can let go of the button. As long as you don’t use the mouse, you can actually go about your business in any other application. I do this all the time.
