I have Notes 6.0.1 running on a Domino 5.0.9 server.
I have setup a simple rule in my Notes client. If the subject contains a string, move it to a specific folder. Really simple.
I sent an email from my Hotmail account to my Notes account, and the rule simply doesn’t work.
I am NOT using this for POP3, this is used for my Notes mailfile account. I know it’s a server based Router task.
So, why isn’t this working? Is it because the Domino server isn’t up to 6 yet?

When Notes/Domino 5 appeared, I used to teach our clients about how to use it. Creating Mail rules was a great way to create chaos among users. Sometimes mail would never appear in their inboxes (even after deleting the rules), sometimes they wouldn’t work.What I try to say is that if you’ve installed a new version of Domino and mail rules don’t work, it’s not a bug, it’s an stablished tradition!!! And I blame you for suggesting that something is wrong with Notes!!

I hate to point out the extremely obvious, but have you enabled the rule? Creating and enabling a rule are two different things…
(I fully expect that you have. But sometimes it’s the really simple things that catch us out.)

If your Domino server is R5, and your mailbox is using the R5 mail template (very important), then you can use a 6.x Lotus Notes client to change the rules.
You should not, of course, be using a 6.x mail template on an R5 server. Is this what you’re doing? The older R5 mail router might be expecting a different format for rules.

I love problems with rules!! They can definitely be quirky. I have several rules going on my mail file to move messages to folders. They seem to work very well. On the “send copy to” rules I’ve noticed that you should type the address in manually and NOT select it from your local address book.
Example of using a PAB selection:

Same user sending it to manually entered address:
04/02/2003 08:58:31 Router: Message 004CC4C6 auto forwarded by RHWISGCS to xxxxxxx@mobile.mycingular.net
Another gotcha - always disable and then delete the rule. Don’t just delete it because it could still be seen as enabled on the router…

I’m running an R6 server on Linux with 6.0.1CF1 client on Windows 2000. I can get basic rules (move to folder, etc.) to work just fine, but the send copy one refuses to work.
I can even put the move folder and send copy in the same rule (in either order) and it won’t work. The document gets moved, but not sent. I’ve tried rebooting the Domino server: no difference. I’ve used PAB names and user@host.com addresses. NOTHING helps.
I’ve been battling with this one for almost two weeks. Does anyone have any suggestions as to where I could go?

This is supposed to be native in 6.0.2!
For now, I would recommend the user going to the webmail version of the mail file:

Hi AllWe have a D6.0 server and N6.0 clients, all installed fresh. We haven’t mamanged to get a rule to “send copy” to an external email account.
Not only don’t rules work for us but also if you intend to use (or are using) iNotes, be very careful:
If you set up a “send copy” rule in Notes, you causes a permanent problem in the corresponding iNotes client. Disabling or deleting the rule clears it for some users but not others - it didn’t for us.
There is a discussion thread for this problem and there will soon be work around by Lotus (BUT THERE ISN’T ONE RIGHT NOW):

I don’t have an answer but I have the exact same problem. Server is 5.010 and client is 6.0. I too have set up several very simple rules and they do not work. I’ve recreated them, I’ve run fixup and updall and compact. No luck. Hopefully someone has an answer.

Yup, you need a D6 Router , hence a D6 Server.

Sorry, I had a memory hiccup. But basically, the Rule UI comes from the mail template, but the rules engine is in the server, so,
Whilst you may have a rule UI that allows a certain rule (say the Send Copy To action in the D6 rules UI), Its the server that has to perform the action, so an R5 server may not be able to perform that rule as composed.
