Readers field and ACL and an Evaluation DB

I’ve read all the FAQ and the topics here - but I’m still confused. Here is my problems. I’ve got an evaluation DB. In the ACL everyone is listed as Depositor - so that they can do their own personal goals and achievements. They then list those people who will evaluate them. I’ve got a readers field - limiting who can see their personal eval & that is working. The problem comes when they list co-workers who need to evaluate them. The co-workers need more than depositor - or they can’t see the personal goals and achievments. I made them Author. And give them an email link to the personal goals & achievements. And then they can create an evaluation of their co-worker. This is working. BUT I have a couple of “noisy people” that then open the database to the Nothing View (where they see nothing) and go and select Create View with no form formula - and they can see everything. How can I disable the Create View menu. I’ve got them locked down on the ACL to not be able to create personal views but it is still happening. Thanks in advance

They can only see documents where they are listed as Readers or Authors, not ALL documents. Set Readers fields on all documents. Do not put users as Authors on documents you wish they don’t see.

Hmmm…how about when the users with Author access complete(save) a document, you change the READER field values, ie, removed the Authors field and then populate the READERS fields with only those who need to read it.

Just a thought!

There’s nothing you can do to prevent people from seeing documents to which they have Reader access. You must use Readers fields in your documents to allow access only to authorized readers. You must also restrict Create View access. People will still be able to create views then, but they will be Desktop Private views, which will not show any information about documents to which they don’t have access. Any server view can show some information for documents to which the server has access but the user does not: if the view is set to display empty categories the user can see the category heading even if they have no access to the documents in that category.
