Readers and authors fields formulas don't work as i think they should

Hi, it’s my first post here, so please do not treat me to harsh. :slight_smile:

At first i will try to show you, what i want to achieve, then how i want to do it.

So, there is a form. It contains fields with user data, like “UserName” or “PhoneNumber”, etc.

Also, there is a view which should:

  • display all users in database to people in “Admin_HR” group

  • display only one user, if person accesing database is in no group, so he can acces only his data.

Next objective is to set rights for editing documents, so user can modify a document related to him. Of course people in “Admin_HR” group should have rights to modify all documents in database.

To accomplish this i created two fields in the mentioned before form:

  • readers type, named “Readers”

  • authors type, named “Authors”

both computed.

Both fields have the same formula:

UserName + “:” + “Admin_HR”

If it had worked, i wouldn’t be posting it here, so i ask for your help and forbearance, because i’m new to lotus, after no training.

Regards,

Michael

Hit there!

Suggest that you SEARCH the forum first as there are MASSES of posts here on this subject.

Your field formula should be :

Username:“Admin_HR”

Make sure you have enabled the multivalue checkbox on the field properties.

BUT

the value of username must be the full canonical name of the user i.e.

CN=Fred Smith/O=ACME

If username just contains “Fred Smith” and you know that the Organisation is ACME then use this formula:

@name([canonicalize];Username+“/ACME”):“Admin_HR”

Thank you for reply.

I appreciate your advice to use search function, but i’m already familiar with it. I found posts with discussion regarding authors/readers fields and it confused me a little, so i asked.

Nevertheless thank you for suggestions.

Michael

Hi ThereFirst check if the field username contains the full hierarchical Name (@username).

Second: ensure that your authors field allows multivalue.

Third: the formula would look like this:

username:“Admin_HR”

without the extra + so its a true multivalue field.

Thank you for quick reply.

You helped me to perceive that i have to pay more attention to details.

I will follow your suggestions, which i think they are accurate, especially the +“:”+ vs : case.

Unfortunately i have to postpone testing to monday, because there is a tight schedule in company where i acquire practice - i have access to only one account, so can’t ascertain that users see only what they should see.

Michael

@Trim(“[Admin_HR]”:@Name([Canonicalize];UserName))

My assumption is your fields allow multi-value and that Username is a valid notes name.
