I’ve searched the forum and found responses that say Reader or Author Fields won’t work if the Name is in Abbreviated Format and that Canonical format must be used.
However, I have a DB where the Reader and Author Fields are created using Abbreviated format and the users can see their own records.
Of course, when the document is opened, edited and saved (or Refreshed at the View level), Notes changes these fields to Canonical format.
Why is it that the users can see documents created for them using Abbreviated format if Canonical is the supposed obligatory method?
Subject: Reader Fields and Abbreviated or Canonical Format
I hear you all that Canonical should be used and that Common or Abbreviated will never work, but…
I create documents in the backend (timesheets), that users can either Open as a uidoc or use a View action to update the document.
Of course, to do either, they must be able to see the documents in a view - and they can all see all their own documents.
However, when one user (there may be others which I need to investigate) has updated his docs using the view action, he can’t thereafter see the docs he’s touched.
If he opens and updates then he can see them. This is because the reader & Author fields have been updated to Canonical format.
But the view action doesn’t update the Reader/Author fields and they remain in Abbreviated format.
When I look at the doc properties at the view level, the Reader/Author fields are still the same as when he first saw them - in Abbreviated format.
So, why could he see them to start with but not after touching them using the view action?

Abbreviated never works. What is tricky is that when you enter your name, you might enter it looking like an abbreviated format, but when the doc saves a NAMES field it knows to make it canonical.
The docs must have some other values which are giving the users access. They are not getting access via abbreviated names.
