Hi, we have upgraded our admin server to 8.5 and allowed the address book template to replicate. WE are also merging Domino domains. The old domains are running 6.5.6. As servers move in to the new domain they get the 8.5 NAB design and template. Yesterday we had a massive problem where all the policy documents for the merged servers suddenly showed all the associated Settings documents as “Document has been deleted” - even though all the settings documents had been copied into the new address book and were available. The administrator involved re-selected them - and later recreated them created them - and then had horrendous problems as really weird things happened - eg all mail in and out was set to encrypted - which meant Blackberry users couldn’t read it - mail file location was changed to On Server - for remote clients that used a local replica. He had a terrible time all day fixing it and finding it went wrong again. IBM have said that the issue is caused by the the policies being edited on a 6.5 server. It must be done on an 85 server using an 85 client. But this doesn’t explain why the settings docs appeared as “Deleted” - which was why he had to make the changes in the first place. WE have another set of policy docs that also show the settings docs as deleted. It is possible for me to re-select them from an 85 client on an 85 server - but I am reluctant to do so after the problems my colleague had yesterday! Especially as the policies concerned refer to our HQ server where all our most senior people work! Has anyone had experience of this? That’s the best advice I could offer. The $Policies view of the Domino Directory could be corrupt and/or the Policy Documents, in addition to other things which IBM Lotus Support can assist you with resolving.

Thanks, my colleague has done this and we are waiting for their recommendations, but often I have found that there is much more help and expertise available in this forum than from the assigned support person, and usually advice is also much quicker!

The problem of the settings documents being deleted is one thing and re-creatingt them seems like a reasonable solution. But if they are re- created with a 6.5 client then we seem to hit a bug and the actual policies are not what is implemented - IBM agree that this is a bug and this can only be done with an 8.5 client. if not, then all sorts of strange things happen, as detailed in first posting. This is a real issue to us as most admins are still on 6,5 client. IBM also said that the changes should only be done on an 8.5 server - but we think that this bit is not right - my colleague did them on a 6.5 server with an 8.5 client and they were OK. Hope this makes sense - its 00;40 in the UK now and past bedtime!
Subject: How did you merge the domains?
The main policy documents refer to the settings documents as links. If you copied the policy and settings documents from on directory into another the document IDs would be new. Therefore the links in the policy documents would have been broken since they point to docs in a different db. So what you would have to do is to go into the policy document and re-pick the setting document that you copied over. That will re-establish the link in the new directory.

Hi yes we did copy and paste in the documents from the old domains. Thats weird cos I’m sure I have done it in exactly the same way when we had some 6,5 domain merges. But thats really useful to know. That explains the documents have been deleted part - but unfortunatley not the way to re-add the link to them - if not done using an 85 client is this always going to be an issue?

Yes this happened to me this week with a policy doc showing a bracketed deletion.
The fix was a simple edit and save of the policy document.
I had not not edited any policy documents in months and all were there. In the 8.0.2 NAB design this did not happen, only after the NAB design change to 8.5
The error did manifest on the “Mail:” line of the organizational policy as “”
IBM/Lotus support caught it on the first call.

I came accross this trying to install a 7.0.3 client with a valid certificate et al. The valid certificate had been created months earlier on a 7.0.3 server and admin client
I got and “Entry not found in index” error upon attempted 7.0.3 client set up. Oddly enough I could install a Lotus 8.5 client even with the policy doc in it’s errord state with the exact same certificate.
This error happened upon trying a 7.0.3 install on several different computers subsequently being succesful as an 8.5 Lotus install on the same user computers

Thanks for all the replies. What appears to have happened is as suggested - the Settings documents needed re-adding to the Policies as the links had been lost. BUT … if this was done with a 6.5 client it totally messed up the policies with all sorts of dire consequences!
