Please confirm that Group Calendars are working as expected

Can someone please answer these questions for me, so I can confirm whether or not our Group Calendars are working correctly?

(1) If you specify that someone can ‘Read any Calendar Entry or To Do’ OR ‘Read, create, edit and delete any Calendar Entry or To Do’ in your mail db (by choosing Tools->Preferences within the mail db, then going to the ‘Access and Delegation’ tab), does this mean they can open and browse all entries in your Calendar (have full access to it) by either choosing ‘Open Another Person’s Calendar’ and selecting your name, or by double-clicking your name in the Group Calendars interface?

(2) Is it necessary to assign someone at least Reader access in the ACL of your mail db in order that they can open and successfully browse all entries in your Calendar (have full access to it)?

(3) Is the main reason for delegating access to your Calendar (on the ‘Access and Delegation tab’), so that people can see your free-time in the Group Calendars interface, rather than allowing them to see what specific activities you are doing by letting them view the entire Calendar?

(4) Is it abnormal that when people try to open your Calendar, either by choosing ‘Open Another Person’s Calendar’ and selecting your name, or by double-clicking your name in Group Calendars, they can only see your blank Inbox and NOT the Calendar itself. Is it normal that some people receive the error messages ‘Not a sub or function: UICOPYINTONEWDOCUMENT’ or ‘You are not authorised to perform that operation’ when they do this?

I’m unsure what the delegation settings allow other people to do and what error messages are to be expected, so I can’t tell whether we have bugs in our Group Calendars system or not.

Thankyou,

Paul.

(1) Kinda: they can read all entries except the ones that have “mark private” checked.(2) Kinda: they only need Reader access to read the “private” entries I mentioned in (1). Normal entries they can read with the access you mentioned in (1).

(3) The ONLY reason for giving people access to your calendar is to let them read its contents, either by opening it directly or by clicking on the “busy” blocks in the group calendar. Standard free/busy time is available for everyone but can be disabled if you want to (something like “only these people can view my free/busy time”).

(4) I don’t know of these problems. It is although possible for other people to view the mail part of a mail/calendar/todo database but unless they have at least Reader access, they will only see calendar/todo documents (like invitations) there.

Hi Jan, thanks for your time.

All the answers you have given make perfect sense to me. There’s something wrong with our calendar system.

Paul.
