Out of Office

Hello, I was wondernig how the Out of Office feature works in Notes/Domino. Sometimes when a user has a Out of Office turned on you get a reply rightaway when you send mail to that person. Sometimes you have to wait several hours for the autoreply to come. Why? Is it run by some scheduled agent on a server? If so how can it be adjusted to give the replies immediately.Thanks!

The agent is scheduled to run on the server. Depends on when you send them an email , when the response is sent back.

To change look in agent properties of the mail file template, look in the agent schedule properties.

It depends on the default set for the agent and the time the message comes relative to the that schedule. You can change the defaults if they are not what you want. You can find more details about Out of Office agent in the Agent FAQ (see resources on the right)

Julie - I’ve read through your whole article on agents, in particular the section on the OOO Agent and how it is “supposed” to work in R6. We are still having a huge problem with people being able to Enable or Disable the agent even though we have given them manager access to their mail file. Also we have given rights to Run restricted LotusScript/Java agents on the server.

Is there something we are missing?

I forgot to add that the users get the message in the agent dialog box that says…A request to Enable/Disable is pending on the server. Even though they have Manager access in the ACL. The agent never does Enable/Disable. In some cases we’ve deleted the agent and refreshed the design. I believe that worked on some occasions but not all.

Same problem here. Some users cannot enable or disable their OOO …

Same problem here. BTW, we were told NEVER to let users be “manager” of their mail database, since that will allow them to delete the whole thing. So we are all Editors. I was thinking it was because the agent didn’t have the user’s name on it, so I was having them Edit the schedule and Save it so the agent would “belong” to them, but that didn’t do it either. I have the user’s name in “run on hehalf of” and Level #2, Allow Restricted. Help!

If you have not read “Decoding ND6 agents” it might help. It said editor level users cannot save the agent. They can only enable it. If your editor users are able to save the agent, something is wrong. They are probably using a local replica or something. The agent will belong to them when enabling happens (via AdminP), they cannot do it manually.

Hi Rick…I did read a doc about Agents which is where I learned about the “run on behalf of”. My users are Editors. When their agent won’t enable, I have them go in and change the schedule from 6 hours to 4 which puts their name on it. Since my name is on mine, it seemed like the logical thing to do. Mine works OK. In some cases that has “done the trick”, in others, not. With some, once the agent belongs to them and they run Refresh Design, I don’t get any more calls. Others continue to have problems. The bulk of my users do not have local replicas, they are desktop users. Only a small percentage of my company uses the OOO agent, otherwise I’d really be in trouble. Here’s the question, when they get the blue message that the request is pending on the server, what should they do? Wait? Ok it?

One thought : did you remove ‘activatable by user’ flag? That’s what controls it. You need to remove it if you don’t want Editor level users.
