Out of Office

Hi I have a user using notes 6.5.4 and has a note template R6, but the user does not have an option for out of office under Tools. I have checked the preferences under Tools - Preferences and the correct name is there. I have also replaced the design any suggestions to why this would happen.

This is caused by the user not appearing in the ACL properly…OR…they are logging in with an out-dated ID file. For example, if you renamed “Jim Smith” to “Jim Smyth” and the user’s ID file never updated to show the change to “Smyth”, then the OO agent option will not appear.

The OO agent option ONLY appears to the person who is the owner of the mail file. Check the user’s ID and look to see if they are logging in with a bad ID file by comparing who they are at login, and who they are in their person doc.

We’ve had this happen quite a few times…all required a restart of the rename or a re-creation of the ID file, which is the pits because their mail will appear as unread.

Hi AllI have made the changes yesterday and all appears ok, but the user has informed me they could see the out of office option and activate it but anyone who sent them a mail while out of office was activated would not receive the Out of Office message from the mailbox?? Have you seen this before?

It depends on the frequency set in the agent schedule…you need to open it in Designer and see. If you make any changes, be sure to have the user disable/re-enable the agent or it won’t work.

make sure the user’s entry in the ACL is the exact match to the name that appears in preferences and that the ACL entry is set to Person for the user type.

Yes ensure that the mail owner in preferences is set correctly, if the mail owner does not match the name in the ID file then the OOO will not appear.

You can quickly see this when you create a new memo and it will say ‘Sent By’ under the mail file owner name.
