Original email being 'modified' when replied

Background: using project mailbox accessible by a project team.To cut the story short, user C found himself reading the same mails from the project mailbox and his own mailbox (was copy to him).

User C requests for a link from his project mailbox to his personal mailbox. Condition: if his name is not listed in the TO or CC or BCC field, send link to his personal mailbox.

Result: Create an agent to send link to User C and it works.

Problem: User D reply to that new mail A and the system triggers it as being modified and causes the agent to resend the same mail A (treating it as new) to user C.

Please guide me on how to set the agent to ignore such ‘changes’ to the email.

When a new mail (doc A) that arrives in a mailin databases → our agent will automatically send a copy to my designated user.

However, our database properties has the

“mark parent note on reply or forward” enabled → it automatically consider the same document (A) as “new” and resend this same doc A as new mail to this user.

Once we disable the “mark parent note on reply or forward”, everything is perfect except that we do not know if anyone has taken any action with regards to that mail. So, we have to enable it again.

It is driving all of us nuts. Pls advice how to tell the agent to ignore if is due to the above.

set the agent to run “When new mail arrives” or use a Rule instead of an agent.

Thanks Paul,that is what I did. It was set to “when new mail arrives” but it trigger the changes when someone replied.

Rule cannot work for this case as it does not have the settings that can be found in agent.
