OOO on terminated users

Hi,

I am wondering what people are doing when people are leaving the company. Do you enable the OOO agent to send out a message, do you delete the account straigh ahead and and return a SMTP errer.

Here, people are denied access to the system; lockout id and put in a deny group. Would like to return a message saying that the account is no more active - eg add a bit more information incase a new contact is available.

Does any one have an agent for this which I can use?

Cheers.

The safest method is to delete from the PAB and have the SMTP router reject the mail with “550 no such user”. This is terse but sufficient to tell a remote sender that the intended recipient no longer works at your organisation.

Yes, you could set up OOO to do this but then you’d have the problem of backscatter bounces…

The problem with OOO is that it happens after a message has been accepted and placed on a local delivery queue. There is simply no guarantee that the purported sender of any SMTP email is the actual sender, so all automatic responses to Internet originated mail are a bad idea. And that isn’t just my opinion…

Hi,

thanks for your response. I agree with the infomation but am still missing the function to be able to inform people about the user / account. An error 550 is a har cut…

I have now looked at bit into the out office agent to see how it is working. The problem with agent is that it automaticly add the information “I will return the xx / Ich kehre zurück…” when activating it. If this information wasnt in the ooo body would I be able to use it - kind of…

When Looking the OOO profile form do I find the two fields DaysOut and DaysOutDisplay which get there values computed. I have found this text in 3 different places… But nomatter if I change the fields to contain “” is the text still added to the body of the mail. Hmmm…

Have found the text in following fields/actions

DaysOut

=>

@If(FirstDayOut = “” | FirstDayBack = “”; “”; "Ich werde ab " + @Text(@Date(FirstDayOut)) + " nicht im Büro sein. Ich kehre zurück am " + @Text(@Date(FirstDayBack)) + “.”)

Postrecalc

=>

FIELD DaysOutDisplay:=@If(FirstDayOut = “” | FirstDayBack = “”; “”; "Ich werde ab " + @Text(@Date(FirstDayOut)) + " nicht im Büro sein. Ich kehre zurück am " + @Text(@Date(FirstDayBack)) + “.”);

“”

Computed Text

=>

@If(FirstDayOut = “” | FirstDayBack = “”; “”; "Ich werde ab " + @Text(@Date(FirstDayOut)) + " nicht im Büro sein. Ich kehre zurück am " + @Text(@Date(FirstDayBack)) + “.”)

When it is none of those fields which one is it then.

What should I change to avoid the text in the OOO message??

Thanks.

What about me, i’m using ID manager: its generating smtp response 550, then moving user to deny group, then terminating account

You’re good.

What is this about - got some more information?

I think he’s talking about this

All it does is automate (and allow delegation of) the process of removing a user from the PAB and including it in a Deny Access group.

There is no direct effect on SMTP inbound routing. The router just sees no match in the directory and sends a “550 no such user” response when email to a deleted user arrives, just as it would anyway had you deleted the user manually.
