One of my users have been out of office for the last 6 months and as per the company’s policy user who haven’t used their mail for the last 120 days have been deleted from directory but mail files are retained. Now the user returned to office and wants his old mails. Can we specify his older mail file while we create a new ID for him? How?
Subject: Old mail with new id
Just specify the old details (firstname, lastname, username, server, path, etc) when registering the new ID. The existing mail file will not be overwritten or deleted during registration. You may have to add them back into their mailfile ACL though as the previous deletion may have removed their name (not sure about this though as registering may re-add them).
They will then have access to their old mail file. Any mails they were sent that were encrypted won’t be readable but any that weren’t will be.
I suppose you have already considered this but it would be more appropriate to issue the user with a backup copy of the ID file if one was taken when they were first registered. Then it’s just a matter of re-adding them to their old mailfile ACL. This would make more sense than re-creating the ID from scratch via the registration process within Domino Administrator (as reissuing a backup ID means they will be able to access any encrypted emails from their old mailfile too).

Depending on what exactly “have been deleted from directory” means, even the original ID file might still be there, if the user had it on her/his machine all the time. In this case, re-adding a person document (and possibly adjusting the ACL) would be all that is needed.
