Hi am planing to have welcome email for new joinee to provide information related to Domino and email policy for my complany.
I had planned to do it via About Database, since my users are accessing the local database. Hence modifying the template is not possible.
I there a way were in we can send a mail which had all the policy and features related to Notes Client user in my organation.

It is very doubtful that updating the about-page in an existing application (that’s how databases are now called) will work. Mostly this object has the prevent refersh option checked.
But when you change your template all new people who’s mailbox is created from this template will get your information.

Rob i agree with you. I am planking this for new joinee to create awarness for them and let them know the email policy used for my orgination.
User are accessing local replica which replicates with server every 10 min. User are not accessing the server copy for send and receive email. Hence i think modifying the template will not work. Any alternate like sending a welcome email with details in that.

Things like this are generally a part of the Human Resources new hire procedure. You can create the message as Stationery in a new or existing mail database (a shared HR database would be standard so that links can be centrally maintained).
In any other database, you’d just throw a couple of documents into the template, but the new user registration process that creates the user mail dbs does not include documents from the mail database template.

I want the new users should get a welcome mail and which has I Agree or I Accept option to accept the terms of notes policy
Once they click on it then it should allow them to use notes client.

They already have to be using the Notes client to see the mail, and need to be able to replicate with the server to get your mail. Any other silly ideas? How about having them sign something before they’re employed instead?

Stan,Want the user should ready the email once it gets configured. Once th eid gets created the mail should shoot to user mailbox.
ONce id configured the user can then acceess the email and read the email policy and accept it to start continue the notes client.

It sounds like you might want to write some (probably non-Notes) application that they run before using notes–possibly using that application to deliver/install their Notes ID file.
That application can prompt for the agreements you want before letting them continue and, potentially of value, document that action. If you have no proof they actually acknowledged something, I’m not sure it has much value.
