Hi,
I’m in a situation where multiple users access a department account to collectively deal with the department messages. They connect to the account by logging into their personal account and then using the “Open another person’s mail” option to access the department account, which they are all given permissions for.
The issue is that the departmental email doesn’t synchronize between the users, so as each user is checking the messages, emails appear as new even though someone else in the department has already checked it.
Is there a way to make the account synchronize between the users, or a better way of setting it up?

Unread marks (which is the “problem” here) are per user. Just because you have opened and read a document in a Notes database doesn’t mean that I have – and that’s what the marks are for, to tell ME what I’ve read and what I haven’t. You are going to have to get the users to mark the documents in way that applies to everybody – like ALWAYS setting a follow-up flag.

Suggestion : Before someone works on an e-mail, have them move it into a folder (possible named after the person who is handling it) and then anything left in the In-Box is unprocessed.
