Hi !we installed a new domino server 8.5 and transfer mailfiles and users to that new server. The problem is, that existing mailrules were not replicated to the mailboxes on the new server. Can someone tell me why ? And is it possible to get an overview over all mailboxes with active mail-rules ?
Thanks in advance, Stefanie
Subject: Questions from development
Hi Stefanie,
This is the first time I have heard of this happening. So, I have some questions:
What method did you use to move the files to the new server? Replication, copy from OS/File system, Migration tool?
If you used replication to move the mail files what ACL rights did the user who was doing the replication have to the mail file (Note: Rules are not visible to users with only public access rights)? Also, check the replication logs to see if there are any errors being reported.
From inside the rules view, can you do an F9 to refresh the view index or, if that does not work, from any view in the database do a Shift + F9 to refresh all indexes.
Did you customize the mail template, specifically, the rules view selection formula?
Thank You!
Subject: Answers
Hi !here´re my answers.
- I created the new replica databases via the admin-client. I choose the wanted maildatabases than choose FILES-NEW-Replicas; choose the new server and click OK.
With the next replication between the servers the documents were transfered to the new server.
- The server(s) have manager rights in the maildatabases. I´ve no rights in that databases.
There ´re no error log-entrys during the replication.
- We customize our mailtemplates, but we made no changes for the rules.
My problem is, that I don´t know, how many mailboxes had this problem after the replication to the new server. Is there a possibility to get an overview over all mailboxes, which has active rules ?! So I could compare the first and the new server.

Subject: there’s not a good way to see which rules are active system-wide
Best you can do with what’s available is turn on tracing for when rules are registered and run on delivery (on the server)
These notes.ini’s show user rules being registered, and run respectively.

You did a transfer, Have you done the update of the design too?
Is so, you can open the designer and look under the folder section. Is their more than one (rules) folder?
You can use NotesPeek to see if you still have rules in your db. It will be compiled in the (CalendarProfile) . look for items named $Filterformula. Or use a Notes db to extract those values, for example
About the OS copy of Notes db
We had problems a few years ago due to this method. It was suppose to be related to an old version of Lotus Notes. The technote is from 1997-12-15.
For what I can say, the problem is still there in 6.5.
technote 156522
Duplicates of Databases Created at the Operating System Level Do Not Replicate
Problem:
You create a duplicate of a replica database at the operating system level and the database does not replicate with the original database.
Solution:
This issue has been reported to Lotus Quality Engineering; however, it was determined not to be a software problem.
Replicas should be created using Notes by selecting File, Replication, New Replica because the replication setting “Only Replicate Incoming Documents Saved or Modified After” is cleared when a new replica is created. If a replica must be created using the operating system, you will need to manually clear the “Only Replicate Incoming…” setting, as well as the Replication History.
