We are using Notes 8.5.1 client and recently got the case which old mails(sometimes one week ago and sometimes two or three weeks ago) disappeared from user’s mailbox. This kind of case occurred on two users in total and one of them has the serious problem.
The details of case is that user occasionally find the old mail disappeared from the mailbox. Search it through “all documents” on both mailbox and archive DB but failed to locate it. While the server message tracking showed those mails really existing in her mailbox before.
The troubleshoot process:
1.Firstly I doubted the mail may lost in archive process. Tried to change the archive setting(previously from server to server which archive running on server too. Then changed to "from server to local which running on Local Notes client) but the mail disappear case still occurred;

Tried install FP3(prevously is FP1) but not helpful.

Stop Archive schedule but still having mail disappeared case. eg. one mail which sent on Jul 1st disappeared and that time the archive schedule was cancelled. so it proved the mail missing case was irrelevant with archive process.

I just tried to re-create one new mailbox and delete the old mailbox for the user. Will see what will happen in coming days.
BTW, we are using one customized mail template which developed by ourselves. We are not sure the problem caused by mail template or it’s the bug of Lotus Note 8.5.1 so far. Is there any one having the similar case?

are you running fixup on your servers? perhaps the docs were corrupt and were removed by the fixup process. having a replica on another server would prevent this problem since fixup would only remove the corrupt document from 1 replica and the document would still exist in the other replica.

Yes, the server do run “nfixup” program every night for “Mail” folder. Anyway, this user’s mailbox also have one two other replicas–one is at user’s local computer and another is on another Domino application server as the backup. Unfortunately the “nfixup” is also running every night on another domino server for Mail folder if “nfixup” is the reason.
Now both replicas can’t find the missing mail.

just because fixup removes a corrupt document from 1 replica does not mean that the same document will be corrupt and removed by fixup from the other replica(s). Typically the document will be corrupt in only 1 replica and the document should replicate back. However, if the document cannot be found in any of the 3 replicas then we can rule out fixup.

In properties of Database, in the second tab see User Detail to check if anyone delete some email or only user/server

I got aother two users reporting this issue recently. Checked their mailbox activity log and not found other person/server deleting doc except the archive process.
Is there any other person have this problem too?
Subject: Replication Options?
Have you checked the Replication Options under Space Saver Tab?
They may have the Remove Documents from replica setting enabled.
We had a user with a similar problem and they had the Remove documents from replica set to 90 days.
Thats one reason for old documents/emails to suddenly start disappearing.

It’s pity that I had re-created the mailbox for the user. The lucky issue is that I still keep one copy of user’s old mail file. I will have a check of its activity log next Mon. Thanks again!
