See IBM Technote 1105863:

Problem A customer would like to create a link in a mail message in IBM Lotus Notes/Domino that points to a non-Notes file that is on a shared server.

Solution To do this, follow these steps:

  1. Create a new memo and type the file name.
  2. Highlight the text and select Create > Hotspot > Link Hotspot.
  3. In the Hotspot properties specify the following:

Type = URL
Value = file://servername/folder/filename.doc

  1. Address the message to the desired recipients and send it.

Note: The recipients must have access via the operating system (OS) to that file on the OS.

Alternate steps:

To create this link, the application to open the document (such as Microsoft Word, Microsoft Excel, etc.) needs to be on the SAME directory for everyone. Here is how to create a link:

  1. Create a memo.
  2. Address it to whomever it will be sent.
  3. Type in any text in the body field of the message (such as “Click Me”).
  4. Highlight that text and select Create > Hotspot > Action Hotspot.
  5. Two other windows will open from the bottom. Under the Run window; make sure it is set to “Formula”.
  6. Under the formula field, you can run the formula:

@Command( [Execute] ; application ; fileNames )

Tip: You can do a search for this formula in the Designer Help database.

So, for example, you would want to type in something like:

@Command( [Execute]; “C:\123W\PROGRAMS\123W.EXE”; “\\ServerName\Directory1\Directory2\SALES.WK4” )

…where the first part is the location of the application, and the second part is where the file is located on the server. (Be aware you will need to type 4 backslashes).

  1. You can then send out a test memo to yourself and see if the application will open with the file in it.
