I am running Notes for 50 users and one of them has left the company. What is the best way to a) stop them getting onto the system and b) redirecting their email to someone else for a few weeks to make sure nothing important is missed?I can’t find any way to change their password from the Admin client, which would seem the simplest way, then I could just check the email every week.

Subject: Delete Users from Domino Administrator
Use the ‘Delete’ button in the Domino Administrator to remove the user. Keep the mail database but add the user’s name to a deny-access group. Domino removes the user’s name from ACLs and Groups.
Create a mail-in database document that contains the user’s old Internet address and mail database. Name it something like “zJohnSmith” so it appears at the bottom of address lists. Delete this document when you no longer want to receive mail.
Subject: Dealing with Leavers
Add their name to your Deny Access list. That will deny the user from accessing your servers (provided you have a Deny Access list in your Server Document - Security tab).
I usually do not forward their mail. Instead, I adjust the ACL of their mail file, adding a user that has been delegated to monitoring the new mail. Then, after 30 days (or so), delete the mail file. The delegate could create a local replica/copy of the mail file prior to its deletion, if they feel that it is necessary.

If you change the server document (e.g. edit for deny list), the server has te be restearted!
I would actually prefer to have a group ‘Everybody still there, too’, in the Access field.
You could add a forwarding adress in the person document. Or use a Mail in Database Document to route the old Internet address into any database (the mailfile from someone else).

Here’s some info.
Add the user to a deny access group to prevent them getting in.
Add the email address of the person who will be receiving mail to the forwarding address field in the person document.
After some time you can delete the person document using the Administrator. This will remove them from all groups and ACL lists.
