$KeepPrive, $Public, Copy & Replicate issues

Hello,

OK I am definitly getting confused now with how this all plays out. First I will tell you how I want things actually working and then all the confusion.

Basically I have a form for the Notes Client, we will call this FormA, I essentially have a copy of this form, formated differently for printing purposes. Call this form PrintFormA, all fields are computed and it used the inherit formulas to pull all the information from the for and format it correctly for printing.

I do not want users able to copy or replicate forms. But if you uncheck the replicate, copy attribute in the ACL then cannot print anything.

So I have added the $KeepPrivate field to all forms in the database. On the PrintFormA I have made the $KeepPrivate field computed to allowing printing. This works for most people except those that have only reader access. They cannot modify this field and there for cannot print.

The Solution to this problem has been to give readers the ACL attribute “Write Public Documents”. This allows them to print the PrintFormA correctly, because it allows them to edit the document but they cannot save. Which is fine, I have the print form not saveable. The only caveat is these users may try to edit forms in the database now. They cannot save the forms but I see this as many potential calls down the road.

Just had a thought, I guess I could make an authors field that allows everyone to modify the PrintForm but not save it. Would this work??

I will try now, if anyone has any suggestions please let me know.

Thanks

I’m assuming that your users need to switch to edit mode in order to print because you added $KeepPrivate to the FORM(s) - meaning that the documents don’t have the field until they get changed to edit mode.

Use an agent to add the $KeepPrivate field to the existing DOCUMENTS - that way the users don’t need to edit.

Keep the field on the form, that way new documents will get it automatically.
