Keeping Rooms and Resources linked

We make extensive use of our Reservation database, with over 70 rooms and almost 50 other resources (projectors, easels, DVD players and so on). From Lotus Notes, it’s easy to reserve, for instance, a room, an easel, and a projector all at once. The problem is, once reserved, these resources are no longer linked. Rooms are approved either automatically by the database or by the room owners; resource requests are forwarded to their owners.

The problem is that the Resource request does not include the information about where the resource is needed. Even though they are linked in the users’ calendars, they are separate and unrelated requests to the resource owners. Is there any way to maintain a link between them – or at least have them refer to the other in some way??

We’d really like to make more extensive use of this, but if we can’t keep the room related to the other resources requested, it’s not going to help much.

All reservations are linked via the ApptUNID field. Make a view in the reservations database that’s categorized by the ApptUNID. This will group all reservations for one request together. You can then display the date, Resource names and the name of the chair. It can be as elaborate or as simple as you need.

Sam, that’s a great idea, and I will certainly keep it in mind. However, I’m working with the Building Services folks, and they don’t want to have to look in a database – they want the notification that they receive to include where the requested resources need to be.

Is there a way to (easily, I’m a seat-of-the-pants Admin) modify the Resource notification to include the room reservation information?
