iNotes & Mail-in Databases

We are considering moving away from the Lotus Notes client and using only iNotes for 3000+ user’s. We have approximately 300 mail-in databases that user’s access daily. I am trying to find a way for the user to navigate from their mail to the mail-in database without having to know the url. 95% of the mail-in databases will reside on the same mail server. Any ideas would be greatly appreciated.

Subject: Workspace…

Easiest may be to create a web-based workspace with links to their mail and the mail-in databases.

Will mean they need to click through again for their mail rather than using webredirect.

I guess this could work the other way round by adding a hotpsot somewhere on the mail to open a separate workspace with the links to the mail-in dbs, but to be honest I don’t know how easy this is to do, I’ve never tried messing about with the iNotes template, and would also mean you’d need to manage this with every mail template upgrade

Subject: Redirector and Open Mail For

You can use the Redirector database so that user’s don’t have to remember the URL to their own mail files. And then once in their mail file, I believe they can use “Open Mail for…” to open a mail in database. I think Open Mail For works in both the Notes client and iNotes.

You can access the mail-in databases from the web by using the ‘Open Mail For’ feature in iNotes. If the user is logged in to their iNotes account, on the left hand navigator under ‘Other Mail’ they may click ‘Open Mail For’.

This will present them with a prompt and they can enter the internet address of the mail in database.

In my test case, I created a database called Docs.nsf which is mapped to ImportantDocs address via the Mail-In setup document and the database is using the mail8.5 template. I am able to switch to the Docs database just fine and any other database that has a web view should load as well.

The user must be an authorized reader of the mail-in database for this to work properly. If you are using the iNotes redirector and know the name of the database you can log in directly: http://server.com/Docs.nsf

If you want the users to be able to click on a list of these items, you’ll need to setup a web document somewhere with the hard coded links. Or you could modify the template to include some hard coded links in the left hand navigator, though all users would need to update their template to see the links.
