I have been requested by my organization to compile a list of how Lotus Notes is being used. What kind of databases have you or your company created to enhance Lotus Notes client beyond its most basic functions of mail client, calendaring etc,? We are particulary interested in types of usage that might be compatible with educational institutions.

Ahem. Anyway, we’re using Notes for a wide range of business purposes: discussion databases, documentation libraries, scheduling, CRM, workflow applications (approval for promotions and new hires, contracts, site safety audits, and anything else which would require person B to sign off on something written down by person A). Some of those are appropriate to any reasonably large organization. Others could easily be pressed into service for education. For example, reading for a class could be kept in a document library. For things of particular use to an education institution…well, let’s see…
We’ve got a fairly elaborate training database. We need to provide a lot of brief training sessions; a lot of our employees must be given training which can be measured in hours or days. The database allows an administrator to schedule a class, pick an instructor and room, and select students. The instructor can update times and students and sign off on student completion. The database keeps track of which classes students have completed, so a student can look at a record the training they’ve received and see what other training they’re eligible or need to retake for based rules for prerequisite and re-training schedules.
We’ve also got a database or two which let instructors create multiple-choice tests, set thresholds for a passing grade, and have students take tests on-line.

This is more directed an M Riggsby who mention his/her company has “a fairly elaborate training database”. We are looking into this application…some have asked me to build one. We are a retail organization and quick efficient training is important since turnover is typically high in this industry. I want to know if your e-learning/training application is a commercial Domino app or homegrown. Which one are you using?

We used Notes to track federal grants and grant expenditures by school systems. Also used it for student information. With Crystal Reports, it was easy to get all the statistics needed for reporting.

We use if for mail and leave forms (print and electronic route/approval), overtime/comptime and various other USGovt forms. Only issue I see is that the Leave and Comptime views are Private on First Use for privacy. The rest I restrict based on need to know, etc.
