We have a group containing numerous people which has been successfully hidden on the public address book to stop people sending out unnecessary emails to hundreds of staff - as this group is also listed in the ACL of many databases it needs to remain as it is. However - I now need to hide the group from IT staff listed in “Administrators-Basic” and am having difficulties doing this. I have done the following process… Right click on the group, choose “Document Properties”. Click the security tab. Uncheck “all readers and above”, then in the access list, check the persons, groups, servers needed. I have made sure Administrators-Basic is not checked.
I have found that staff in the administrators-basic group can still pick the group from the domino directory (though other staff cannot) though if they just type the group name in the ‘To’ field the system does not pick it up.
Am I missing something somewhere?
Subject: Hiding an email group on the address book
Hi there
Hiding documents using readers/$readers interacts with any authors fields on the document. From your description, would expect that the “Administrators-Basic” group is in either or both of the “Administrators” or “Owner” field on the Advanced tab - these are authors fields so you can give an admin group authors access in the ACL and the group Modifier role to allow them to edit group documents.
Notes has a rule of thumb that where there are both authors and readers restrictions applied, if you are listed in an authors field it assumes you have reader access also, even if you are not listed in the readers field (does that make sense?). This usually applies with authors and readers fields added to the form design, but it may also apply with $Readers (which is created when you apply readers restrictions from the document properties).
So in other words if I am correct, putting a different group in the owner/admin field on that group document only should allow the readers restrictions to kick in…
