I’ve read many of past posts on this, but I’m still not sure on how to execute this, so I’m wondering what some of you do.
If I have an author/reader field on the form that displays, I don’t think most users want to see the canonical name. So what do you do? Create two fields, a text field for displays that shows the common name and a reader/author field that stores the canonical name.
Most of my databases have been designed as follows: I put a reader/author field on the form that has a formula of @Name([CN]; @UserName) or some variation like that. Our address book is on a server in New Jersey. Our database servers are in Ohio. No one has ever had a problem that I’m aware of. But I wonder if I’m committing a major sin here?
On the other hand, some of the past message I read sounded like if you fill out a front end document, that Notes stores the names in the canonical form. But if you manipulate the documents in the back end that you have to manage this yourself. Did I interpert this wrong? Or is that how it works?
And if what I’m doing is wrong…then what do you do so users can see the common name, but Notes is happy with the canonical name?
Thanks.
Subject: Handling Canonical Names in Reader/Author fields
For hierarchical names, Names fields an Authors fields and Readers fields display these names in abbrevated format and store them in the back end in canonical format. Input through the UI can be in canonical or abbreviated, and will still be stored in canonical. Any back-end processing you do must write in canonical format.Flat names , the common-name component of hierarchical names, or any other strings of text are just treated as text strings with no transform done between the front end and the back end.

Thanks. That’s what I thought I read. But I wasn’t positive because when I highlight a document and then choose document properties, and then look at the field, it still just shows me the abbreviated name.

when you go to document properties and check the field properties does it show as READ/WRITE-ACCESS NAMES PROTECTED? I don’t believe an abbreviated name will work in a names field unless it’s in canonical format. Common names work but are not recommended and come with their share of headaches and caveats.
