Full Text Indexing On Mail Files

Once again, let me apologize beforehand…I have seen an answer to this question, but I still have a question!

Is it possible to just disable the full text indexing on mail files? We have some other app dbs that need it, but in my opinion there is no need for it on the mail files. And it’s just taking up unnecessary space. Not that we need the extra space, just as an administrator I hate seeing all these full text indexing files even taking up one iota of space…

I know there is a notes.ini setting: Update_No_Fulltext=1…but that would prevent any database from being full text indexed, right? Is there a way to just prevent them on the mail files?

I would say that you’re wrong. I know a lot of users who while classify every single messages in a folder. But some others will only remove the message form the Inbox and put it in a folder called Other just to keep the new messages in the Inbox…It is my case.

I’ve work for a few clients in the past, i have a copy of every mail files, i have more thant 40 000 messages. All my dbs are indexed. It’s ont of the first thing that I do when i arrive at a new client site.

The documents are in the “All Documents” view. It is a great feature, that other mail clients surprisingly don’t have. I don’t think there is a limit to the number of folders. I’m curious, why do you use so many folders? Do you really remember where to do to look for the documents? I mainly ask, because I find most people that use a lot of folders where not aware of how to use full text search in their mail to find documents.

Well, let me rephrase that…I don’t think it’s necessary in our organization and I would like to prevent users from being to create a full text index on their mail file.

Do you mean how can you prevent users from creating a full text index?If so, I think the only way is to lower their level in the ACL to editor.

Yes, I do mean to try to prevent users from creating a full text index on their mail files. I had seen where lowering the ACL was an option, but what is the level I would have to set them at. And what other options might I be taking away from them in setting it lower.

Seems to me there should just be a database properties option to disable Full Text Indexing…but maybe that’s just me.

Sorry, I have one more question…most of the people that have full text indexes on their mail already are set to Editor access. So it must need to be set lower, or I have one of their “abilities” set too high, such as create private agents, folders, etc.

Can anyone help me out with that, please…

Just setting their access level to Editor will not influence existing FT indexes, of course. It just keeps them from creating one, if it doesn’t exist yet. To get rid of them, you would have to delete them, first.

Every admin (db manager) can still create a FT index for selected databases and it will be kept up to date by Domino.

Also have a look at your standard settings for registering new users. Might be set to automatically create an index, already.

Editor access will not give you the rights to creat a full text index. Maybe it’s created when the user is setup via a policy?

Also, if you’re thinking of changing people with manager access to editor, I would check you have the right settings on the server doc for “run agents on behalf of”

Enabling the out of office agent and also changing delegation settings are handled by the server rather than the user when the acl level is lowered so just double check before you do it!

Editor access would be the appropriate level, as Mark pointed out already. No other option, no database or directory setting.

Anyway, for the sake of your user’s happiness and your own peace of mind, just keep the index. Look at Google mail and see what more and more users will get used to.
