Folders and Views: File Deletion

HI, Being a new user to Lotus Notes, I didn’t really understand how it worked with regards to Views and Folders. My database was nearing it’s size limit ( well maybe ) so on the advice of our tech people, I made a local copy of the database. The I deleted the Folders I had created. I did not delete the files withing the folders, I just clicked on the folders and said delete. Well later I noticed that all the files were still in “All Folders” view. I did some reading and learned that the emails in the Folders are just pointers and that I really didn’t reduce the size beacause all the emails are still there. Can I just delete them from the “All Folders” view ?

Additionally, what is a better way to control the size of your database ( mine is set really low - about 150 MB ) Should I

  1. create an archive and move mail older than 10 days

  2. create and archive and move mail older than 10 days but maintain a link ( I think this is an option)

  3. Copy the database locally and handcopy over files I don’t need ( ugh!)

Folders and views in Notes are NOT like Windows folders. They are merely methods for organizing documents. (Not files; documents. There’s only one file, the mailbox.) Documents can appear in multiple folders and views, or none, but they still exist. Removing folders or views will not remove documents.

In order to clean out a file, you must delete documents. If you delete them from one view or folder, they will be deleted from all folders and views in which they appear. (Note: Removing a document from a folder is not the same as deleting the document.)

I understand this. But I didn’t before I removed the folders. I have “orphaned” documents, that have no representation in any folder, only in the “All folders” view. From what you are saying, I am safe to delete them from this view. I still have no idea how to deal with multiple databases ( which appears that I must due to space restrictions ).Heather
