We are currently experiencing an issue with two of our users where some of there folders randomly go missing from within the folder pane on the left hand side of there notes database.
The emails can still be seen from all documents view but the folders are no where in sight.
We have tried running fixups, design replace, compact -c and updall -c with no luck.
The folder in question has sub folders.
Any idea as to why the folder randomly disappears and what we can do to get it to show up again? and to resolve the issue from happening again?
Hi Peter, anythink specific noted about these users folders? Had a similar pb with users having too many folders, folder name more like subject lines, accented characters and too many Q1 … type subfolders starting with or having the same name.Manifestation: Ended up with a top level “Folders” reappearing as a subfolder and the tree below. When drag/dropping folders, they would “jump” to another location, consequently the “missing” folders were found elsewhere. Initially, I thought this to be user PBCAK problem, but the folders really had a technical error and were doing strange things.
Solution proposed: Shorten names, ensure that folder has 6 unique characters, so 2008-Q1, 2009-Q1, etc. Had to find and start with a folder that was behaving and slowly work down.
We had looked at that as being a possibility and by far that seems to be the most probable reason as to why.
One of the users has extremely long folder names and cascades a fair bit. we did some research earlier and found the limitation within notes for something like 56 characters for folder names within cascades. although during testing on my client and making folder within folder and using extremely long file names to the point where notes would tell me i had to many letters and would not create the folder. I did not notice any folder go missing.
I might suggest the distinctive folder names to see if that helps the solution for one of the users.
The other user however only had a few sub folders inside a folder she labelled with her name. And all sub folders had short names and from my understanding there was less then 5.
Do you know if there is any script we can create that will monitor this type of behaviour within notes?
Sorry, my scripting is limited, stricktly a poweruser type person. I find folder manipulation clumsy, so for the “simply folders person”, I would suspect user PBCAK. For the other, user discipline with motivation “else you are going to loose them again”. I found that once the long names were reduced and the user was convinced that using subject lines as folder names is really bad practice, it appeared to get better.
