Federated Calendar Subject lines and Private meetings

Management in the company has decided it want’s to be able to see what is in users calendars, which can be done via Access & delegation\ Access to Your Scehdule…

If I need to delegate access, I set “my Preferences”:

“Who is allowed to see your Scheduled information?” to “All”.

…and “What schedule information are they allowed to see” set to “Details about my Calendar entries”.

I have “Do not include the subject of calendar entries in details” NOT checked.

If a user now federates my calendar onto theirs, they should be able to see the subject lines in my calendar entries, good. But if I select “Private” in a meeting, the other user can still see the meeting in the federated calendar, but they can not open it, as they get the message that it is a private meeting. I anticipated that a private meeting would not show subject line text…?

The second thing is that users have many historical entries that they would not like to made public. Is there any standard way of making all historical entries private? I can write an agent that can set all entries private using the field “OrgConfidential”, but I still have the problem of the subject line still being visible.

Maybe I could move all meetings to their archive, but then it makes it a bit of a hassle for them to get to historical meetings.

Any suggestions or comments would be most welcome.

Subject: Mod subject with Agent (re: Federated Calendar Subject lines and Private meetings)

If you use the Agent to change OrgConfidential, couldn’t you just move the Subject contents to the Comments/Body field and blank the subject or set it to “Private Appointment”? With the subject in the body field, it would still be available/searchable to the owner.

…“move subject to body”…could do.
