Duplicates of folders created when folders moved - cannot remove

I have about 250 folders and sub-folders in my Notes mail client. I wished to change the structure of these to make more business sense, moving some under others. When I have done this however, the next time I open Notes I see duplicate folders created.

For example, I want to move Folder A under Folder B. I am able to do this, but the next time I open Notes I have two copies of Folder A, the first one containing the mails in that folder, the second one appearing like a “dummy” folder but with Folder B below it.

Two things complicate matters:

  1. Due to a limitation in the size of my Notes mail client, I am forced to archive heavily. I want to retain the folder and mail structure in my Inbox to help direct me when I look at the archive. Both the Inbox and Archive folder structures are now corrupted.

  2. The folder names are also now often corrupt e.g. “Folder A” now appears as “FolderAr A”. I can’t easily delete these and recreate without having to identify where the mails in each folder should go. I have literally thousands of mails in my Inbox and do not wish to have to move these into folders again by examining each one.

I have tried File-> Application-> Replace Design and selected “Mail(R8)” then checking the option “Upgrade Folder Design”. After running for an age however, this made absolutely no difference to the structure.

Is there any way I can get Notes to remove the duplicates? My Inbox is now in a pretty much unusable state of disorganisation as a result of the unnecessary duplicate folders.

Subject: updall, fixup, or designer client

Refreshing or replacing the template doesn’t change user-created folders.

If you can enlist the help of your admin, have them run updall and fixup on your mailfile. This probably won’t change the folders, but may correct any corruption.

You can correct the folder issue by creating new folders and moving the messages into them, then deleting the old folders. If you or your admin have access to the designer client, that will allow you to select and delete mutliple folders at once.

You will want to keep in mind that folders do take up space and contribute to going over quota. So, keep your folder structure slim, and use the searching functions in ‘all documents’ instead, when possible.

Thanks for the response Maria - I will bear in mind when creating / moving folders in future!

Subject: As a big folder user may I suggest this tool?

As myself you have a lot of folders. For me it helps me organize my mail file, but it also gave me problems when I accidentally removed the wrong folder. The company I work for therefor developed a very handy tool, which can be downloaded for free (for ten applications) from our website: Folder Restore tool for Lotus Notes mail. When I read your post I thought this might be a conveniend tool for you. http://www.lialis.com/restore-folders/
