Documents Disappearing?

I’ve got a problem that I need to resolve quickly, but I am at wit’s end to solve it.

I’ve build a Lotus Workflow-based system that tracks various approvals for customers; there are two groups that have access to this database:

  1. Workflow Participants

  2. Lotus Workflow Administrators

Some of the users in the Workflow Participants group have recently become unable to view any documents in the database; regardless of which view they use, no documents appear.

This occurred while I was on vacation last week, and thus I have no idea exactly when or how it happened. I am unable to reproduce the error for myself, and I cannot find anything that the people who can’t see documents have in common.

This is really driving me nuts; furthermore, the system has become fairly important in driving some of our business processes… any suggestions would be very much appreciated!

Hi WilliamI’m not a Lotus workflow expert but I have developed workflow into many applications in the past.

Firstly I’d say there is not nearly enough technical and specific detail in your post for our colleagues to help and the lack of replies is mainly for that reason I think. May I suggest you post a more specific message and if possible with a more specific title.

Here are a few general suggestions to narrow down the problem (you may have tried them already but it is not obvious from your post):

  • try adding one of those who suddenly can’t see the documents to the Admin group and see if he/she now can see the documents.

  • using a suitable ID check the document properties and check the contents of the Readers field on a document that should be available to a Workflow Participant. Is the participant’s acl group listed in the field?

  • check any agents that process documents and may manipulate access to the documents. Run one of them in debug mode and step through the process and monitor the value of the reader field see at point the Workflow Participant is removed or should be added but is not added.

I am only imagining a few possibilities out of many but I’d say if the users could see documents and suddenly become unable to see them then an unplanned logical condition is removing their access to the documents. Make a post with more detail and I’m sure some real experts will help you very quickly.
