Document spread to different category due to different data type

I have created a view called report. I have a column called accountcode, which pick up data in field called AccounCodeField, which is a text field.

When I upload, it was uploaded as number. the column gave error message initially. Thus, I change the column formula to @TExt(AccountCodeField). Now the view works.

When I edit one of document and save it , it appear in different category.

My first column is year field, i.e 2006, it is a text field.

Thus, the problem now is that instead of appearing like below:

Year

AccountCode

 Value

It Appear like this:

Year

AccountCode

 Value

Year

AccountCode

 Value

i.e the document that I have edited appeared in different category, and I don’t know why the view is displaying documents in two different categories, although all data is the same. I suspect it could be that for documents that I have not updated, it is registered as number, thus, it is appearing in different view.

Problem is that I am having 35000 documents, after refreshed for 6 hours , only 7000 documents managed to be refreshed thus far.

Is there any shortcut method, like changing the formula for the column AccountCode, so that I don’t have to refresh all documents, but data will not appear in two different category?

I also tried to disable displayed multiple values in separate line items, but notes will enable the check box again.

Tq in advance.

Sounds like the accountcode is being stored as text or number - check the data using the document properties box. It might also be the year field - is it actually being stored as text or a number, or even a date?

For a shortcut, don’t just do a refresh of a document (you don’t say how you’re doing it, maybe using toolsrefreshselecteddocs or something). Work out what the problem is and run an agent editing the field that needs changing.

So, for example, if you need to change the account field just create an agent to run on selected docs with:

FIELD AccountCode:=@text(AccountCode)

or whatever you might need. It’ll still take a while but not that long. You can test the agent by running it against a single doc first and see what happens (normally in a test version of the db of course)

Tq Dan, you hit the jackport, it was the year field. Yes, i used the agent toolsrefreshselecteddocs agent.

I am now stuck wih a similar scenario, I tried to refresh 3800+documents, and it is taking me 4 hours thus far, I just need a field to be refreshed.

Not to mention I have not mastered the sql nor DB2 function, which took me hours to select just 1000+ documents sorted by category manually (ended up with 3000+ documents, I eventually decided to change my selection formula in designer, and it came down to 1000+ docts).

Currently, my notes client is stuck due to the current refreshed method, maybe next time i tried your proposal.

Sorry if I asked this question too soon, as I cannot test it yet.

Is there a formula for certain field to be refreshed? ie. not all document? If not, since this field is supposed to do lookup, is it by putting the lookup formula will make document refreshed fastest?

Also, the view seems to take long time to refreshed after documents being refreshed, they are no time dependant column, i wonder why it also take around 1 hours plus orso to refreshed around 3000+ documents?

Tq and Merry Christmas!

Hi

As I said in the previous post, you just need to alter the field itself (not refreshing it, just setting it’s value).

So if it’s the year field, then use an agent running on selected docs (create a view with the correct selection formula to get just the docs that have the wrong field value).

You don’t say what the formula for the field is or why it’s a text field (surely the year field should be a number field), so give more explanation if you need some more advice.

The field was a text field, not date field, but when I upload, it was uploaded as number, thus, explaining why it appeared twice. i am thinking of using translation to translate it to text using @text(year),but not yet trying it.
