Document Access

Is there a way to control which documents a user can see based on where the database is they are accessing?I hope someone has an answer for this strange question.

We have a user with a local replica of a database that he accesses while outside of the office. On this local replica he can only see documents within his market area. However, when he is in the office accessing the same database on the server, he wants to be able to see all of the documents in the database.

Is this possible? Would it be controlled with replication settings?

Subject: Reader fields?

It sounds like the reader fields on the document properties security tab of the documents that he can’t see are set so that only certain people can see them, and he’s not listed. If that’s the case, create a local replica that only contains and replicates the documents that he wants to see locally. You can do this by view or by folder under File → Replication → Options for this application → Advanced. Then add him to the reader fields on the server replica.

I don’t think I explained the situation very well. We build our readers fields based on Market area, so on his local replica, he can see the documents he is supposed to see. However, every once in a while, he comes into the office and, while here, wants to see everything, including the documents he is supposed to see. My question is, is there a way to change his document access based on where he is when opening the database? Will we need to create a new user id for him to use while he is in the office?

Again, sorry if I’m not clear.

Subject: No way to do that with reader fields.

You could do something similar with selective replication though. so that the local copy only has the documents related to his region.
