Hi,
I want all my users to download the mails to local replica.Once the user download mails from server, the mails should automatically get deleted from server mailfile. Like in outlook.
Users should not be able to open Server mailbox.
Is there a way to do it on Notes client.
Or anybody have any code to do it from server.
Subject: Why??
Why would you wanna do such a thing.
If you were to implement actions such as this you will loose complete control over mailboxes. You won’t be able to restore any lost mail. If the person’s PC/laptop dies, he will have lost all his mails.
If this is an attempt to reduze mailbox file size on the server, then let people locally archive (or on another server), use the Mail qouta to set the max size.
I would never recommend deleting mails from the actual mailserver itself.
Subject: Re: Move users to Local Replicas
Hi Arao,
I’ll have to agree with Jean-Louis - this sounds like something you most likely do not want to implement when thinking in terms of the long-run. Jean-Louis is right on target with my thoughts as well. Rather than run the risk of losing a mail file all together, etc. Forcing quotas on Mail Files and implementing an Archive Policy would be the safest way to achieve what your ultimate goal seems to be.
Please feel free to reply to this post if you have any questions on setting a Quota and/or Archive Policy and I will respond as soon as I can, as I do try to check back in the forums often.
Overall Arao, I would really think in terms of what is best for the general environment and proceed as Jean-Louis mentioned.
Again, if you have any questions at all, please respond - I am more than happy to help!
Have a great day Arao!

Subject: Bandwidth Crunch
Hi Jean & Bob,
Thanks for your replies… I absolutely agree with your points. But, I want to do it as we are facing Bandwidth crunch.
All the users from other locations are directly accessing Server mailbox and have one way replication to Local which they treat as Archival replica.
As you both rightly said to implement Archive policy. I thought of doing that. Customer dont want to do that as it is confusing for users to maintain their mails. The users are using Lotus Notes from server mailbox for years.
So, to achieve this. Firstly I need to restrict the users from accessing server mailbox and let users replicate to local mailbox. The mails ahould get deleted from server mailbox as and when they replicate or Mails should get deleted from server once the user mailbox on server becomes full.
Thanks you both again… Hoping to get some solution
Have a great day…
Arao
Subject: Re: Bandwidth Crunch
Hi Arao,
I understand the situation you are in, but again, I do not recommend configuring an environment in such a way.
What you could do is configure the Replication so that Deletions and the ACL do not replicate. Additionally, you could configure an Archive Policy to delete Mail remove mail from the database after xx amount of days without archiving the mail.
I would proceed with this plan with extreme caution Arao. This is something that needs to be planned out and tested before implementing across an environment. The risks should be stressed to the customer - specifically, there is a very high chance of data loss. Mail accidentally being deleted (cannot be recovered in this environment), and that is something that often occurs with inexperienced users and such.
One thing you definitely want to ensure is that Soft Deletions ARE enabled on the user’s Local Mail Files. This will at least allow users a time period where they can recover mail if they accidentally delete it.
I hope this helps Arao.
Good luck and again, feel free to reply with any questions and I will try to check back often.
Have a good day!

Subject: Thanks
Hi Bob,
Thanks a lot for your concern & inputs.
Let me evaluate the option of archive without actually having the archive DB.
Thanks Again
